Job Overview:
The Warehouse Operations Assistant plays a crucial role in managing the receipt, dispatch, and verification of commodities within WFP's warehouse operations. This position is essential for maximizing the quality of warehouse operations and mitigating losses. The incumbent will support best storage management practices in compliance with WFP warehouse standards and established guidelines. The role also contributes to emergency response efforts within warehouse operations, ensuring effective management of commodities. The Warehouse Operations Assistant will work under the direct supervision of the Logistics Cluster Coordinator and will be responsible for maintaining accurate records of commodity movements, conducting inventory checks, and implementing quality control measures. This position requires a proactive approach to problem-solving and the ability to work collaboratively with warehouse staff to ensure high performance and adherence to WFP standards.

Duties and Responsibilities:
The Warehouse Operations Assistant will be responsible for the following duties:
  • Effectively receive and dispatch commodities, including transhipment, ensuring accuracy in physical counts and compliance with established quality standards.
  • Prepare, verify, and sign off on warehouse and transport documents, maintaining accurate transaction records for immediate reporting on commodity movements.
  • Conduct daily warehouse closing reconciliations and inventory checks to support internal control systems.
  • Perform daily inspections of commodities and prepare reports on their quantity and quality, investigating discrepancies and recommending solutions.
  • Implement measures to safeguard food and non-food commodities, ensuring quality control in line with WFP procedures.
  • Monitor warehouse conditions and take actions to optimize space planning and organization of commodity storage.
  • Provide guidance and on-the-job training to warehouse staff to enhance their skills and performance.
  • Perform other related duties as required, contributing to the overall efficiency of warehouse operations.

Required Qualifications:
Candidates must possess a completion of secondary school education, with a post-secondary certificate in a related functional area being desirable. The role requires at least four years of progressively responsible experience, including a minimum of one year in warehouse management, inventory management, and data entry. Experience in logistics operations and supply chain management is essential. Candidates should demonstrate strong organizational skills and attention to detail, as well as the ability to work effectively in a team environment.

Educational Background:
The minimum educational requirement for this position is the completion of secondary school education. A post-secondary certificate in a relevant functional area is considered an asset, as it provides additional knowledge and skills pertinent to warehouse operations and logistics management.

Experience:
The position requires at least four years of progressively responsible experience in warehouse management, inventory management, and data entry. Candidates should have at least one year of experience specifically supporting warehouse operations, which includes managing inventories and understanding logistics operations. This experience is critical for ensuring effective management of commodities and adherence to WFP standards.

Languages:
Fluency in both oral and written communication in English and Arabic is mandatory for this position. Knowledge of the French language is considered an added advantage, as it may facilitate communication in diverse operational contexts and enhance collaboration with French-speaking stakeholders.
