Job Overview: The Team Assistant will play a crucial role in supporting the administrative functions of the UN Human Rights Training and Documentation Centre. This position requires a proactive individual who can manage a wide range of office support tasks, ensuring smooth operations within the Centre. The Team Assistant will work under the general supervision of the Head of the Centre and the direct supervision of the Administrative Associate, collaborating closely with all staff members, stakeholders, and partners. The role involves responding to routine correspondence, managing schedules, and assisting in the preparation of reports and presentations. The Team Assistant will also be responsible for maintaining databases, organizing information, and providing logistical support for meetings and events. Duties and Responsibilities: The Team Assistant will be responsible for a comprehensive range of duties, including but not limited to: performing various office support and administrative functions; drafting responses to routine correspondence; producing complex documents and reports; monitoring processes and schedules related to the unit's outputs; verifying the accuracy of documents; compiling information for reports and meetings; generating statistical reports; proofreading documents for accuracy; screening phone calls and visitors; providing secretarial and logistical support for meetings; maintaining websites; preparing presentation materials; managing calendars; performing data entry; processing mail and documents; updating distribution lists; handling administrative tasks such as leave recording and budget follow-up; maintaining files and databases; assisting with software and hardware support; guiding less experienced staff; collecting and analyzing data; developing content for digital platforms; managing assets; troubleshooting server systems; and performing other duties as assigned.
Required Qualifications: Candidates must possess a high school diploma or equivalent. A first-level university degree or higher can reduce the minimum required experience to one year. The position requires a minimum of three years of experience in general administrative office support or a related area. Candidates with experience in logistical support, particularly for workshops and events, will be preferred. Familiarity with ERP systems such as Umoja and experience in creating content for digital platforms are desirable. Additionally, experience working with the UN system or similar international organizations is an asset.
Educational Background: The educational requirement for this position is a high school diploma or equivalent. Candidates with a first-level university degree or higher will have their minimum experience requirement reduced, making them more competitive for the role.
