Job Overview: The Programme Assistant position is integral to the Country Office of UNFPA in Malaysia, providing essential support to the Programmes Unit. This role involves assisting with programme design and implementation, conducting research, and performing data analysis. Duties and Responsibilities: The Programme Assistant will undertake a variety of duties, including: assisting in the hiring processes of programme/project implementing partners, ensuring compliance with Prevention of Sexual Exploitation and Abuse (PSEA) requirements, and supporting micro assessments. The role also involves coordinating and reporting on programme/project planning, monitoring, and evaluation, including the preparation of annual workplans and project spot checks. The Programme Assistant will compile, summarize, and present basic information and data on programmes and related topics, participate in the preparation of annual and quarterly project workplans, and facilitate project review meetings by drafting minutes and providing logistical support. Additionally, the Programme Assistant will conduct monitoring visits to project sites and coordinate incoming study tour visits as needed. Financial responsibilities include preparing budget revisions, generating financial reports, and ensuring operational and financial closure of projects in line with UNFPA guidelines. Administrative support tasks involve maintaining project files, arranging meeting schedules, and drafting routine correspondence. The Programme Assistant will also coordinate updates for the office's social media accounts and provide data or programme briefs for communications materials.
Required Qualifications: Candidates must possess completed Secondary Level Education, with a Bachelor’s degree in finance, public health, population, economics, demography, or other related social sciences being preferable. Relevant experience is required, with five years for those with Secondary Level Education and two years for those with a Bachelor’s degree. Candidates should have knowledge of results-based management, teamwork, time management, and multi-tasking abilities. Proficiency in communication and writing is essential, along with the ability to express ideas clearly in both written and oral forms. Familiarity with computer systems and applications, particularly Google Workspace and AI tools, is also necessary.
