Job Overview: The Project Support Assistant plays a crucial role in the implementation of the Participation, Ownership and Sustainable Progress for Economic Resilience (PROSPER) project, which focuses on promoting local economic development through participatory planning. This position involves working closely with rural and indigenous communities, particularly women and youth, to develop skills and entrepreneurship competencies while integrating gender and environmentally sustainable practices. The Project Support Assistant is responsible for providing administrative support to ensure that project objectives are met efficiently and effectively. This includes managing correspondence, organizing meetings, and maintaining project documentation. The role requires a proactive approach to problem-solving and the ability to work collaboratively within a team to achieve project goals.
Duties and Responsibilities: The duties and responsibilities of the Project Support Assistant include: drafting standard correspondence and formatting various documents related to project activities, providing general office management and administrative support for meetings and workshops, updating project websites and databases, responding to queries and maintaining official records, processing administrative arrangements for official travel, assisting in financial data compilation, entering data for transaction classification, preparing and processing transactions in the ILO's IRIS system, arranging payments for resource persons, and performing other relevant duties as assigned. The incumbent will work under the supervision of the National Project Manager and will be expected to coordinate with various stakeholders to ensure the smooth execution of project activities.
Required Qualifications: Candidates must have completed secondary school education and possess at least four years of experience in general office management and clerical support work. The role requires excellent organizational skills, the ability to prioritize tasks, and proficiency in basic computer software such as Microsoft Word, PowerPoint, Excel, and Adobe Reader. Candidates should also demonstrate strong communication skills, attention to detail, and the ability to work effectively in a team environment. Knowledge of administrative document preparation and filing systems is essential, along with customer service skills to provide efficient responses to clients.
Educational Background: The minimum educational requirement for this position is the completion of secondary school education. Additional qualifications or certifications in office management or administration may be advantageous but are not mandatory.
Experience: The position requires a minimum of four years of relevant experience in general office management and clerical support. Candidates should have a proven track record of performing administrative tasks efficiently and effectively, demonstrating the ability to manage multiple responsibilities under time pressure.
Languages: Fluency in English is mandatory, with excellent written and oral communication skills. A working knowledge of Spanish is also required, while knowledge of indigenous languages such as Q'eqchi and/or Mopan will be considered an asset, enhancing the ability to communicate with local communities.
Additional Notes: This position is a fixed-term contract for one year, with the possibility of extension based on funding availability and performance.
