Job Overview:
The Project Assistant will play a crucial role in supporting the implementation of the Youth Fellowship Programme and related youth and arts initiatives under the Ministry of Youth, Sport and Arts (MYSA). This position requires a proactive individual who can manage documentation, ensure compliance with operational guidelines, and assist in the preparation of financial proposals. The Project Assistant will also be responsible for maintaining organized records, managing inventory, and providing administrative support to the programme team. The role involves collaboration with various stakeholders and team members to ensure effective programme implementation, including organizing meetings, workshops, and events, as well as drafting concept notes and coordinating travel arrangements.

Duties and Responsibilities:
The Project Assistant will be responsible for a variety of tasks, including but not limited to: supporting the implementation of the Youth Fellowship Programme; managing documentation for compliance with finance, procurement, and administrative processes; maintaining organized internal files for procurement activities; monitoring inventory records for office supplies and equipment; assisting in the preparation and review of financial proposals; establishing effective records and archiving systems; providing administrative support to the programme team; collaborating with team members on programme implementation; organizing programme-related meetings, workshops, and events; drafting concept notes; coordinating travel arrangements; and performing any other duties as assigned by the supervisor.

Required Qualifications:
Candidates should possess strong organizational skills, attention to detail, and the ability to work collaboratively in a team environment. Proficiency in administrative processes and financial management is essential. The ideal candidate should demonstrate adaptability, creativity, and professionalism, with a strong commitment to accountability and self-management. Familiarity with youth development issues and experience in project management will be advantageous.

Educational Background:
A minimum of a bachelor's degree in social sciences, development studies, project management, or a related field is required. Additional certifications in project management or related areas will be considered an asset.

Experience:
Candidates should have at least 1-2 years of relevant experience in project support, administration, or a related field. Experience working with youth programs or in a development context is highly desirable. Familiarity with UNDP's operational guidelines and procedures will be an advantage.

Languages:
Fluency in English is mandatory, as it is the primary language of communication within the organization. Knowledge of local languages spoken in Zambia will be considered an asset, as it can enhance communication with local stakeholders and beneficiaries.

Additional Notes:
This position is based in Lusaka, Zambia, and may require occasional travel within the country. The role is full-time, and candidates should be prepared to adapt to the local living conditions, which may include occasional power outages and varying standards of medical facilities.
