Job Overview: The Coordination Assistant will play a crucial role in supporting the implementation of the Youth Joint Programme in Zambia, which aims to create an enabling environment for improved livelihoods and socio-economic opportunities for young people. This position involves engaging with various stakeholders, including government ministries, UN agencies, civil society organizations, and the private sector, to ensure effective coordination and communication. The assistant will help track workplans, organize events, and facilitate the onboarding of fellows, contributing to the overall success of youth empowerment initiatives. Duties and Responsibilities: The Coordination Assistant will be responsible for a variety of tasks, including:
Supporting stakeholder engagement and coordination of partnerships among various entities involved in youth development.
Assisting in the coordination and implementation of program activities, ensuring that workplans are tracked and key actions are followed up on.
Organizing youth-related events, including logistics and administrative support.
Facilitating effective communication among Line Ministries, UN agencies, civil society organizations, and other partners.
Organizing meetings, preparing agendas, taking minutes, and tracking action points.
Supporting data collection, monitoring, and reporting, while maintaining accurate records of program activities.
Providing logistical support for trainings, events, and fellowship placements.
Assisting with the onboarding process and ongoing follow-up of fellows to ensure their successful integration into the program.
Contributing to the development of communication materials and visibility initiatives to promote the program's objectives. 1
Promoting gender equality, inclusion, and meaningful youth participation across all program activities. 1
Performing other related duties as required to support the overall goals of the Youth Joint Programme.
Required Qualifications: Candidates should possess strong organizational and communication skills, with the ability to work collaboratively in a multi-stakeholder environment. Proficiency in project management and coordination is essential, along with a commitment to promoting gender equality and youth empowerment. Familiarity with the challenges faced by youth in Zambia and experience in program implementation will be advantageous. The ideal candidate should demonstrate adaptability, creativity, and professionalism in their approach to work, with a strong sense of accountability and self-management.
Educational Background: A bachelor's degree in social sciences, development studies, public administration, or a related field is required. Advanced degrees or specialized training in youth development, project management, or related areas will be considered an asset. Candidates should have a solid understanding of the socio-economic context of Zambia and the challenges faced by youth in the region.
Experience: Candidates should have at least 2-3 years of relevant experience in program coordination, project management, or a related field, preferably within the context of youth development or social programs. Experience working with government agencies, UN organizations, or civil society organizations will be highly regarded. Demonstrated ability to engage with diverse stakeholders and manage multiple tasks effectively is essential for this role.
Languages: Fluency in English is mandatory, as it is the primary language of communication within the organization and with stakeholders. Knowledge of local languages spoken in Zambia will be considered an advantage, as it can enhance communication and engagement with local communities.
