Job Overview: The Site Maintenance Assistant position is integral to the Management Services Division at WFP Headquarters in Rome, Italy. This role involves providing a comprehensive range of maintenance services, including the installation, maintenance, and repair of electrical equipment and appliances. The Site Maintenance Assistant will ensure a safe, comfortable, and reliable working environment for all staff. The position requires a proactive approach to site maintenance, with responsibilities that include planning and coordinating civil maintenance works, conducting regular inspections, and ensuring that all services meet WFP's quality standards. The role also involves maintaining accurate inventory records and compiling reports on maintenance activities, which are essential for effective planning and resource allocation. The Site Maintenance Assistant will work closely with the Building Maintenance Team, providing technical supervision and support to ensure that all maintenance tasks are completed efficiently and to a high standard.
Duties and Responsibilities: The duties and responsibilities of the Site Maintenance Assistant include, but are not limited to:
Planning, coordinating, and executing civil maintenance works, including preventive interventions such as painting, masonry, plasterboard installation, flooring, carpentry, furniture assembly, and minor blacksmith work.
Monitoring and coordinating portering and cleaning services to maintain a clean and organized work environment.
Conducting regular inspections of the premises to assess the quality of services provided by contractors and in-house teams, identifying areas for improvement.
Maintaining accurate inventory records and managing the disposal of equipment and materials in accordance with WFP asset management guidelines.
Compiling reports on maintenance activities, services provided, and materials used to support efficient planning and accounting.
Supporting the supervisor in evaluating installation and repair works, comparing prices of materials, and planning future maintenance activities.
Providing technical supervision to the Building Maintenance Team, ensuring timely and high-quality completion of minor civil works and repairs.
Intervening personally to adjust or complete the work of external contractors as necessary to meet WFP's quality expectations.
Demonstrating strong knowledge of materials, methods, and processes used in civil works to ensure high standards of safety and functionality.
Required Qualifications: Essential qualifications for the Site Maintenance Assistant position include practical experience in maintenance works such as painting, masonry, carpentry, flooring, and furniture assembly. Candidates should have experience in reporting and basic technical documentation, as well as in coordinating and monitoring service contractors. A good physical condition is required to handle heavy items and work in various weather conditions. Fluency in written and spoken Italian is mandatory, while intermediate knowledge of English is also required. Desirable qualifications include the ability to perform structured inspections of premises and civil works, as well as some experience in supervising small teams.

Additional Notes: This position is classified as a local recruitment for General Service Staff, meaning that applicants must be Italian citizens or non-Italian citizens with a valid legal permit to live and work in Italy. Candidates must reside within commuting distance of the duty station in Rome or be willing to relocate at their own expense. WFP will not cover relocation or living expenses. The compensation package is competitive and determined by the contract type and the selected candidate's qualifications and experience.
