Job Overview: The Receptionist plays a crucial role in the effective operation of the Resident Office (RO) by providing essential secretarial, clerical, and administrative support. This position serves as the first point of contact for visitors and callers, ensuring that inquiries are handled professionally and efficiently. The Receptionist is responsible for managing office supplies and equipment, facilitating communication within the office, and supporting the Resident Office staff with various clerical tasks. The role requires a proactive approach to problem-solving and the ability to maintain a welcoming and organized office environment.
Duties and Responsibilities: The Receptionist's primary responsibilities include managing incoming telephone calls, screening and directing them to the appropriate personnel, and taking messages when necessary. They are also tasked with greeting visitors, determining the nature of their business, and directing them accordingly. The Receptionist maintains a visitors log and may prepare meeting rooms with necessary equipment and refreshments. Additionally, they handle clerical duties such as sorting and processing mail, scanning and copying documents, and maintaining office archives. The role may involve scheduling appointments, organizing conference room bookings, and providing transportation arrangements for EBRD visitors. The Receptionist may also assist with ITC duties and coordinate local visa arrangements for staff as needed.
Required Qualifications: Candidates must possess a minimum of secondary education, with a preference for university-level education. Previous experience in a receptionist or secretarial role is essential, along with familiarity with office equipment such as fax machines and photocopiers. Excellent verbal communication skills and a professional telephone manner are required, as well as strong interpersonal skills. Proficiency in Microsoft Word and Outlook is necessary, along with the ability to learn new software as needed. The ideal candidate should be able to work independently and as part of a team, demonstrating a proactive approach to responsibilities.
Educational Background: The position requires at least a secondary education, although a university degree is preferred. This educational background provides the foundational knowledge and skills necessary for effective communication and administrative support in a professional environment.
Experience: Candidates should have prior experience in a receptionist or secretarial capacity, which equips them with the skills needed to manage office operations and interact with a diverse range of individuals.
