Job Overview: The Administration Officer plays a crucial role in supporting the Country Office of DRC in Nigeria. This position is responsible for overseeing all aspects of administrative support, ensuring that operations and procedures are efficient and effective. The Administration Officer will implement administrative policies, develop systems to enhance operational efficiency, and ensure compliance with DRC's guidelines within Nigeria. The role requires a proactive approach to managing office facilities, guesthouses, staff travel, and accommodation, as well as service contracts and lease management. The Administration Officer will work closely with the Human Resources and Administration Team Leader to ensure that all administrative functions are carried out smoothly and in accordance with DRC's standards. This position is vital for maintaining a well-organized and functional office environment that supports the overall mission of DRC in Nigeria.
Duties and Responsibilities: The Administration Officer will be responsible for a wide range of duties, including but not limited to: managing office facilities to ensure they are safe and functional, overseeing office maintenance, coordinating the renewal of leases for office premises and guesthouses, managing guesthouse standards and supplies, acting as the focal point for staff travel and accommodation arrangements, monitoring service contracts and lease agreements, maintaining visa and movement trackers for staff and visitors, supervising office cleaners and housekeepers, and ensuring compliance with DRC's administrative policies. The role also involves maintaining clear and organized filing systems for all administrative tasks, raising purchase requisitions for supplies and services, and ensuring timely payment of utility and maintenance bills. The responsibilities may be adjusted according to operational needs but will remain aligned with the overall purpose of the role.
Required Qualifications: Candidates must possess a university degree in Business Administration, Public Administration, Secretarial Studies, Human Resources Management, or a related field. A minimum of three years of experience in administration, executive secretariat, or human resources, particularly within international NGOs, embassies, or UN agencies, is essential. Knowledge of travel and immigration procedures, experience with humanitarian flight services, and proficiency in Microsoft Office are required. Familiarity with ERP systems and a good understanding of human resources management principles are advantageous. Candidates should demonstrate strong interpersonal and communication skills, the ability to work under pressure, and maintain confidentiality and ethical conduct.
