Job Overview: The Programme Assistant position is integral to the Country Office's mission of driving meaningful change and supporting the effective implementation of initiatives aligned with UNFPA's goals. Duties and Responsibilities: The Programme Assistant will be responsible for a wide range of duties, including: A. Programme and Operational Support: Assisting in the preparation, implementation, and monitoring of the country programme, ensuring alignment with organizational priorities; drafting, finalizing, and reviewing correspondence; ensuring optimal communication flows with internal and external partners; reviewing incoming correspondence and preparing necessary information for responses. B. Event and Logistics Management: Coordinating logistical, administrative, and financial arrangements for workshops, meetings, and events; preparing travel authorizations and arranging travel logistics. C. Data and Information Management: Maintaining and updating project files, compiling and analyzing data for reports; managing an online filing system for records and resources. D. Financial and Administrative Tasks: Preparing requisitions and processing payments; utilizing UNFPA reporting systems; managing the team's calendar and scheduling appointments; organizing and recording meetings. E. Research and Documentation: Conducting bibliographic searches to support research activities; preparing briefing materials and presentations. F. Network and Coordination Support: Assisting in coordinating the UNFPA technical network; organizing and processing information for stakeholders. G. Additional Responsibilities: Following up on financial reports; maintaining the office filing system; carrying out other duties as assigned by the Programme Coordinator or Operations Manager.
Required Qualifications: Candidates must possess a completion of secondary school, preferably supplemented by technical or university courses related to public administration, finance, international relations, or economics. Additionally, candidates should have at least 5 years of relevant experience, including some experience in research assistance. Previous experience within the United Nations system or other international organizations is advantageous. Strong organizational, interpersonal, communication, and administrative skills are essential, along with the proven ability to manage work routines with minimal supervision. Proficiency in computer applications such as Microsoft Word, Excel, and PowerPoint is required, and familiarity with enterprise resource planning (ERP) systems like QUANTUM is an asset. Basic knowledge of financial principles and experience with financial software is also necessary.
Educational Background: The educational background required for this position includes the completion of secondary school, with a preference for candidates who have pursued technical or university courses related to public administration, finance, international relations, or economics. Experience: Candidates should have a minimum of 5 years of relevant experience, which includes some experience in research assistance.
