Job Overview: The position of Individual Contractor for the Communications / Events Team at UNEP FI involves providing administrative support to ensure the smooth running of various events organized by the UNEP Finance Initiative (UNEP FI). The contractor will assist in outreach, marketing, managing partnerships, and administrative coordination for events such as global roundtables, webinars, and smaller in-person meetings. The role requires a proactive approach to support the team in achieving its objectives, including effective communication and collaboration with various stakeholders. The contractor will also be responsible for maintaining databases, preparing reports, and ensuring timely submission of documents related to events and activities.
Duties and Responsibilities: The Individual Contractor will have a diverse set of responsibilities, including:
Assisting with the coordination of event registrations, speakers, invitations, briefs, and related content for Global Roundtable events.
Maintaining and updating the UNEP FI database, ensuring that member information is current and accurate.
Providing administrative support for workshops, meetings, procurement requests, and other tasks necessary for project delivery.
Supporting the FI Secretariat with vendor registration and procurement processes.
Creating and maintaining the UNEP FI Roundtable database, including updating contact details and member profiles.
Coordinating communications between program partners and stakeholders, compiling feedback for reporting purposes.
Monitoring the quality and timeliness of information compilation for reports.
Ensuring the timely submission of statistical reports and work orders.
Proofreading documents for accuracy and adherence to established standards. 1
Assisting with invoicing for sponsorships and membership fees. 1
Completing vendor/supplier forms related to UNEP FI events. The contractor will report to the Co-Head of Communications and work closely with the Communications and Administrative Teams.
Required Qualifications: Candidates must possess a high school diploma or equivalent, with a bachelor’s degree in administration, finance, or economics being desirable. A minimum of one year of progressively responsible experience in administration or finance within the UN system, government, NGOs, or related sectors is required. Proficiency in standard office software, including word processing, spreadsheets, and presentation tools, is essential. Familiarity with Umoja is considered an asset. Candidates should demonstrate strong organizational skills, attention to detail, and the ability to work effectively in a team environment.
Educational Background: The educational requirements for this position include a high school diploma as a minimum. A bachelor’s degree in a relevant field such as administration, finance, or economics is preferred, indicating a higher level of understanding and capability in managing administrative tasks and financial responsibilities.
Experience: The position requires at least one year of relevant experience in a similar role, preferably within the UN system or related organizations. This experience should include responsibilities in administration and finance, showcasing the candidate's ability to handle tasks effectively and efficiently. Familiarity with event management and coordination is also beneficial.
Languages: Fluency in English is mandatory as it is the working language of UNEP FI. Knowledge of French and other United Nations languages is considered an asset, enhancing communication capabilities within the diverse international environment of the UN.
Additional Notes: This position is a remote, home-based role expected to last for 5 months. The contractor will work under the supervision of the Head of UNEP FI and will be involved in various administrative and event management tasks. The role is designed for individuals who are proactive, detail-oriented, and capable of managing multiple responsibilities in a fast-paced environment.
