Job Overview: The Senior Administrative Assistant position is crucial for ensuring the smooth operation of the office and administrative support for the Senior Representative for European Economic Coordination. This role involves maintaining and coordinating general office procedures, supporting strategic planning and monitoring of staffing, and ensuring effective communication within the office. The Senior Administrative Assistant will also be responsible for overseeing day-to-day office operations, managing facilities support, and providing relocation and protocol support for staff. The position requires a proactive, detail-oriented individual who can work efficiently under pressure and manage multiple tasks effectively. The role is designed to enhance the operational efficiency of the Paris office and strengthen the World Bank Group's relations with European stakeholders, including the European Commission and various bilateral governments.
Duties and Responsibilities: The Senior Administrative Assistant will be responsible for a wide range of duties including:
Office Administration: Ensuring smooth operation of office procedures, maintaining distribution lists, supporting strategic planning for staffing and office allocation, and developing monitoring tools.
Facilities Support: Overseeing day-to-day office operations, managing outsourced services, collaborating on office expansion projects, and developing procurement plans.
Relocation and Protocol Support: Providing resources for relocating staff, supporting onboarding experiences, coordinating with the French Protocol for visa and permit requests, and assisting with administrative issues related to relocation.
Other Support: Performing additional tasks as assigned, playing an HR proxy role, and serving as an office focal point for various functions and initiatives.
Required Qualifications: Candidates must possess a Bachelor’s degree and at least five years of relevant experience, preferably with international development organizations. They should have experience in office administration, protocol, or program support roles. The ability to handle sensitive and confidential matters with maturity, excellent interpersonal and communication skills, and strong organizational and time management skills are essential. Candidates should also demonstrate proficiency in relevant computer software systems and a willingness to learn new applications as needed. Preference will be given to local talent authorized to work in Paris without employer sponsorship.
Educational Background: A Bachelor’s degree is required for this position, with a preference for candidates who have studied in fields related to administration, international relations, or business management. The educational background should support the candidate's ability to perform the administrative and operational tasks required by the role effectively.
Experience: The position requires at least five years of relevant experience in office administration, protocol, or program support roles, ideally within international development organizations. Candidates should have a proven track record of managing administrative tasks efficiently and effectively, demonstrating the ability to work under pressure and meet tight deadlines.
Languages: Strong written and verbal communication skills in both English and French are mandatory for this position. The ability to articulate clearly and draft documents for various audiences is essential. Knowledge of additional languages may be considered an asset but is not required.
