Job Overview: The Building Services Assistant plays a crucial role in the building management unit, ensuring that internal customers at headquarters, bureaus, or field locations receive efficient and timely services. The incumbent is supervised by the Building Services Associate, who provides guidance and defines work objectives. The position involves regular interaction with third-party service providers to ensure compliance with established terms of reference and to enhance client satisfaction. The Building Services Assistant is expected to contribute to the smooth delivery of services in a cost-effective and service-oriented manner, adhering to UNHCR's core values of professionalism, integrity, and respect for diversity. Duties and Responsibilities: The Building Services Assistant has a diverse set of responsibilities, including monitoring contracted service providers to ensure compliance with terms of reference, preparing and organizing events and receptions, managing official vehicles, and assisting with internal moves and transport of goods and furniture. The incumbent is also responsible for performing small repairs within the building, supporting daily warehouse operations, verifying invoices for accuracy, and identifying and managing risks. Additional duties include assisting with the Mail and Stationary Unit, preparing shipping documents, and conducting physical inventory of warehouse items. The Building Services Assistant must ensure that all tasks are completed efficiently and in accordance with UNHCR policies and procedures, while also raising any risks or concerns to the supervisor.
Required Qualifications: Candidates for the Building Services Assistant position must possess a minimum of 1 year of relevant experience with a High School Diploma or a Bachelor’s degree or equivalent. Essential qualifications include experience in support services related to building maintenance, financial management, logistics, and procurement. Familiarity with ERP systems and supply chain management is also required. Desirable qualifications include knowledge of UN administrative, human resources, and financial rules and procedures, as well as proficiency in Microsoft Office applications. The ability to work effectively in a team and communicate clearly with diverse stakeholders is essential.
Educational Background: The educational background required for this position includes a High School Diploma as a minimum, with a Bachelor’s degree or equivalent being preferred. While specific fields of education are not applicable, candidates should have a solid understanding of the principles related to building services and support functions. A valid driving license is also essential for this role, as it involves transportation responsibilities.
