Job Overview:
The Office Assistant position is designed to support the smooth and efficient operation of the work unit by performing a variety of routine administrative tasks. This role is essential for maintaining the organization’s workflow and ensuring that administrative processes are executed effectively. The Office Assistant will be responsible for managing appointments, providing logistical support for meetings, and handling correspondence. Duties and Responsibilities:
The Office Assistant will undertake a comprehensive range of duties including but not limited to: arranging appointments for supervisors, receiving visitors, screening and sending emails, and responding to routine information requests. The role involves providing administrative and logistical support for meetings, committees, and conferences, as well as managing incoming mail and correspondence. The Office Assistant will draft responses to standard correspondence, proofread documents for accuracy, and ensure adherence to established standards. Additionally, the position requires initiating administrative tasks in various computerized systems, preparing purchase orders and requisitions, making travel arrangements, and assisting with the processing of vacancy announcements and contracts. The Office Assistant will also be responsible for compiling information for reports, managing databases, and maintaining both electronic and paper files, while performing other duties as required.

Required Qualifications:
Candidates must possess a secondary school education and have a minimum of three years of relevant experience in office support work. Proficiency in English at a working knowledge level (C) is mandatory. Candidates should also demonstrate good knowledge of MS Office applications and office technology equipment. Competencies such as results focus, teamwork, communication, and the ability to build effective relationships are essential for success in this role. Educational Background:
