Job Overview:
The Project Assistant position is crucial for supporting the processing of applications for Temporary Protection (TP) for Ukrainian Nationals and Third Country Nationals (TCNs) fleeing Ukraine and arriving in Ireland. The incumbent will work under the supervision of the Chief of Mission in Ireland and the Immigration and Border Governance Programme Manager. The role involves assisting with the collection, verification, and review of documentation from applicants, providing information on the Temporary Protection Directive, and acting as a focal point for beneficiaries at the Limerick Registration Centre. The Project Assistant will also identify vulnerable cases during interviews, assist beneficiaries in completing application forms, and maintain beneficiary data in governmental platforms. The position requires a strong commitment to data protection and confidentiality, as well as effective communication and collaboration with various stakeholders.

Duties and Responsibilities:
  • Assist with the processing of applications for Temporary Protection for Ukrainian Nationals and TCNs.
  • Collect, verify, and review documentation from applicants, ensuring compliance with IOM Data Protection Principles.
  • Provide information on the Temporary Protection Directive to applicants.
  • Identify vulnerable cases during interviews and refer them to appropriate services.
  • Assist beneficiaries in completing application and registration forms.
  • Maintain and update beneficiary data in governmental platforms.
  • Draft routine reports on work performed for IOM supervisors.
  • Provide translation and interpretation services as needed.
  • Maintain effective relationships with local stakeholders involved in the registration process. 1
  • Follow procedures to prevent fraud and ensure the integrity of records. 1
  • Provide logistical and administrative support for project activities. 1
  • Apply confidentiality and data protection requirements when handling sensitive information. 1
  • Support operational needs at other duty stations as required. 1
  • Perform additional duties as assigned.

Required Qualifications:
  • High school diploma with five years of relevant experience; or a Bachelor’s degree in Social Studies, Political Science, International Relations, Psychology, or related fields with three years of relevant professional experience.
  • Experience working with migrants, refugees, and vulnerable groups.
  • Experience in a multicultural setting and with asylum seekers and refugees is preferred.
  • Prior experience with international humanitarian organizations or government institutions is an advantage.
  • Strong administrative, reporting, and organizational skills are essential.

Educational Background:
Candidates must possess either a high school diploma with five years of relevant experience or a Bachelor’s degree in a relevant field from an accredited institution, with three years of relevant professional experience. Accredited universities are those listed in the UNESCO World Higher Education Database.

Experience:
The position requires experience in working with migrants, refugees, and vulnerable populations, particularly in a multicultural environment. Candidates should have experience with asylum seekers and refugees, and prior experience with international humanitarian organizations or government institutions is advantageous. The role demands a strong understanding of the challenges faced by these groups and the ability to navigate complex situations effectively.

Languages:
Fluency in English and Ukrainian is required, both oral and written. Knowledge of Russian is considered an advantage. Proficiency in these languages will be evaluated during the selection process, which may include written and/or oral assessments. IOM’s official languages include English, French, and Spanish, but the primary focus for this role is on English and Ukrainian.

Additional Notes:
The position is subject to local recruitment, and only candidates holding a valid residence and work permit for Ireland will be considered.
