Job Overview: The Project Coordinator position at IOM Finland involves supporting the organization's engagements in Return, Readmission, and Reintegration, with a particular emphasis on repatriation. The successful candidate will work under the supervision of the Head of Office and the Programme Coordinator, collaborating with various units at Headquarters and other IOM missions. Key responsibilities include assisting in the implementation and monitoring of project activities, compiling and analyzing data on project topics, and managing budget-related tasks. The role requires extensive coordination with diverse organizational units and external parties to ensure smooth project implementation and compliance with IOM standards. The Project Coordinator will also draft reports, correspondence, and documentation related to project issues, respond to complex inquiries, and organize meetings and training sessions. Additionally, the candidate will monitor the work of implementing partners and provide guidance to junior staff, ensuring effective project delivery and adherence to timelines.
Duties and Responsibilities: The duties and responsibilities of the Project Coordinator include:
Supporting the implementation and monitoring of project activities related to return, readmission, and reintegration.
Compiling, summarizing, and analyzing information/data on specific project topics.
Monitoring project budgets, verifying fund availability, and updating budget-related information.
Acting as the focal point for administrative coordination of project implementation, liaising with various organizational units and external parties.
Drafting status reports, identifying delivery shortfalls, and suggesting remedial actions.
Preparing and updating reports, briefing notes, graphics, and other documentation.
Responding to complex information requests and inquiries.
Organizing meetings, workshops, and training sessions.
Participating in meetings and conferences, coordinating activities with local authorities, partners, and stakeholders. 1
Monitoring the work of implementing partners and reporting non-compliances. 1
Providing guidance and training to new or junior staff. 1
Performing other related duties as assigned.
Required Qualifications: The required qualifications for the Project Coordinator position include:
A school diploma with five years of relevant experience, or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited institution with three years of relevant professional experience.
Experience working with governmental authorities, national/international institutions, United Nations agencies, or NGOs.
Experience working with migrants, refugees, internally displaced persons, and other vulnerable groups.
Prior work experience with international humanitarian organizations or in a multi-cultural setting is an advantage.
Familiarity with project-based approaches, including planning, implementing, and monitoring activities using structured tools and methodologies such as results-based management (RBM).
Educational Background: Candidates must possess a school diploma with five years of relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution. Accredited universities are those listed in the UNESCO World Higher Education Database.
Experience: The position requires candidates to have a minimum of three years of relevant professional experience if they hold a Bachelor’s degree, or five years of relevant experience if they have a school diploma. Experience should include working with governmental authorities, national/international institutions, United Nations agencies, or non-governmental organizations. Additionally, experience in working with migrants, refugees, and other vulnerable groups is essential. Familiarity with project-based approaches and structured methodologies is also advantageous.
Languages: For this position, a working knowledge of English and Swedish is required, both oral and written. It is desirable for candidates to have proficiency in any language(s) spoken by the main migrant populations in Nordic countries. IOM’s official languages are English, French, and Spanish, and proficiency in these languages may be evaluated during the selection process, which could include written and/or oral assessments.
Additional Notes: The position is subject to local recruitment, and only candidates holding a valid residence and work permit for Finland will be considered. The appointment will be contingent upon certification of medical fitness, verification of residency, visa, and government authorizations where applicable.
