Job Overview: The Supply Assistant will work under the supervision of the Supply and logistics-officer" style="border-bottom: 1px dotted #007bff !important;">Logistics Officer, ensuring accurate and timely processing of procurement requisitions. This role supports procurement and contracting processes, including drafting tender documents and purchase orders, with the goal of meeting the needs of UNICEF Guinea’s programs. The position requires a proactive approach to managing procurement processes, sourcing suppliers, and ensuring quality assurance in deliverables. The Supply Assistant will also maintain data reporting and filing systems to ensure the availability of procurement information.
Duties and Responsibilities:
Support procurement processes by reviewing incoming demand/sales orders for completeness and appropriateness, drafting tender documents, and implementing the tender process.
Source relevant suppliers of goods and services, conduct daily follow-ups on deliveries, and evaluate local suppliers’ performance.
Manage contracts by drafting contracts and purchase orders, preparing Direct Orders against existing Long Term Arrangements, and ensuring quality assurance with suppliers.
Maintain data reporting and filing systems to ensure correctness and availability of procurement information, including forecasting and actual delivery schedules.
Prepare periodic and ad-hoc reports as needed and perform any other duties as requested by the supervisor.
Required Qualifications: Completion of secondary education is required, preferably supplemented by technical or university courses related to supply chain, business administration, contract/commercial law, or another relevant technical field. A minimum of 5 years of relevant administrative experience in supply chain management or a commercial context is required, with an understanding of development and humanitarian work being an advantage.
