Job Overview: The position of Assistant/Assistante au pointage is crucial within the Supply Chain unit of WFP, specifically in the Cap-Haitien warehouse. The primary function of this role is to ensure the accurate tracking and management of goods received and dispatched from the warehouse. This includes conducting physical inventories and maintaining precise records of all inventory movements. The Assistant will work closely with the warehouse manager to identify discrepancies and ensure compliance with established procedures and internal control systems. The role requires a proactive approach to problem-solving and a commitment to maintaining high standards of accuracy and efficiency in warehouse operations. The Assistant will also be responsible for generating reports and communicating effectively with stakeholders to ensure smooth operations within the supply chain.
Duties and Responsibilities:
Track the receipt and dispatch of goods, including internal milling operations, identifying any discrepancies and reporting them to the supervisor to enhance the accuracy and efficiency of warehouse management.
Ensure proper storage of goods and assist in conducting regular physical inventories following established guidelines and standards to contribute to compliance with internal control procedures.
Prepare accurate tracking reports, including efficiently distributing tracking sheets to relevant parties to consistently and swiftly account for the movements of goods in and out of the warehouse.
Supervise the cleaning of the warehouse after loading/unloading of goods and restocking to ensure that the WFP warehouse meets established standards.
Support supply chain operations by collecting data from various sources to assist in planning, forecasting, and resource management.
Gather reliable information and data in a timely manner to facilitate informed decision-making regarding reporting within the unit and the broader humanitarian community.
Collect and compile information to enable WFP to make informed operational decisions.
Conduct daily warehouse and stock management activities in accordance with WFP operational procedures.
Demonstrate awareness of the importance of technical assistance and coordination with key stakeholders, leading logistical activities while respecting mandates and priorities defined in programs.
Required Qualifications: Candidates must possess strong organizational skills and attention to detail, with the ability to manage multiple tasks effectively. Proficiency in data management and reporting is essential, as well as the ability to work collaboratively within a team. Candidates should demonstrate a commitment to WFP's values of integrity, collaboration, commitment, humanity, and inclusion. Familiarity with supply chain management principles and practices is highly desirable, along with the ability to adapt to changing environments and priorities. Experience: Candidates should have at least two years of relevant experience in warehouse management, inventory control, or supply chain operations. Experience working in humanitarian or development contexts is preferred, particularly within organizations similar to WFP. Candidates should demonstrate a track record of effectively managing inventory and ensuring compliance with established protocols.
Languages: Fluency in French is mandatory, as it is the primary language of communication in Haiti. Proficiency in English is considered an asset, as it may facilitate communication with international colleagues and stakeholders. Knowledge of additional languages relevant to the region may also be beneficial.
Additional Notes: This position is a service contract (SC) with a duration of 12 months. The role is based in Cap-Haitien, Haiti, and candidates must be Haitian nationals.
