Job Overview: The Reports Officer position at UNICEF Venezuela is crucial for ensuring high-quality and timely reporting to donors and stakeholders. The role involves planning, coordinating, and assuring the quality of all internal and external reports, including SitReps, donor reports, and strategic communication materials. The incumbent will work under the direct supervision of the PM&E Specialist, contributing to the office's reporting processes and enhancing the capacity of program colleagues in results-based reporting and analytical writing. The position requires a proactive approach to managing donor reporting schedules, ensuring compliance with UNICEF standards, and integrating lessons learned into reporting products. The Reports Officer will also play a key role in building internal capacities and providing training to colleagues on effective reporting practices.
Duties and Responsibilities:
Ensure quality and timely donor reporting in line with initial proposals and internal SOPs.
Maintain and monitor the donor reporting schedule, providing weekly status updates and reminders to ensure timely submissions.
Coordinate with program and operations sections for the preparation, consolidation, editing, and quality control of donor narrative and financial reports.
Ensure compliance with donor requirements and UNICEF standards, including the UNICEF Stylebook and country office SOPs.
Review and finalize donor reports in both English and Spanish, ensuring accuracy and up-to-date data usage.
Systematically archive donor-related documents in Sharepoint.
Propose tools and corrective actions for operational procedures to enhance donor reporting management.
Support the coordination and editing of mandatory UNICEF programmatic reports, ensuring compliance with reporting standards.
Identify training needs and build internal capacities on quality donor reporting. 1
Provide on-site support or training to program colleagues and participate in global communities of practice.
Required Qualifications:
Advanced university degree in International Development, Social Sciences, Public Policy, Communications, Programme/Project Management, or a related field.
A first University Degree in a relevant field combined with 2 additional years of professional experience may be accepted in lieu of an Advanced University Degree.
Experience in donor reporting is an asset, and experience in humanitarian settings is desirable.
Educational Background: Candidates must possess an advanced university degree in relevant fields such as International Development, Social Sciences, Public Policy, Communications, or Programme/Project Management. Alternatively, a first university degree in a relevant field combined with two additional years of professional experience may be accepted in lieu of an advanced degree.
Experience: The position requires a minimum of one year of relevant work experience in program reporting, donor relations, resource mobilization, program management, communication, or monitoring and evaluation. Experience specifically in donor reporting is considered an asset, and familiarity with humanitarian settings is desirable.
Languages: Fluency in Spanish is mandatory, along with an intermediate level of English. Proficiency in English is desirable, and knowledge of another official UN language (Arabic, Chinese, French, Russian) or a local language is considered an asset.
