Job Overview:
The Administrative and Project Support Officer will play a crucial role in supporting the Knowledge Transfer (KT) Group at CERN. This position is designed for individuals who are enthusiastic about bridging scientific research with industrial opportunities and optimizing methods for knowledge transfer and innovation. The officer will be responsible for assisting the KT Group Leader and management with various project management activities, ensuring effective communication and coordination among stakeholders. The role involves supporting the design and implementation of project management processes, managing procurement of knowledge management software, and facilitating the transition to new software platforms. The officer will also provide front office services, assist with onboarding and offboarding processes, and handle administrative tasks related to leaves, reimbursements, and travel requests. This position is integral to maximizing the impact of CERN's technologies and expertise on society, particularly in industry.

Duties and Responsibilities:
  • Support the design and implementation of project management processes and tools.
  • Assist in the procurement of knowledge management software.
  • Facilitate the transition to new software platforms for project management.
  • Coordinate with organizational and external stakeholders during project implementation.
  • Provide front office services to the KT Group Leader and management.
  • Assist various personnel with onboarding and offboarding processes.
  • Process requests for leaves, reimbursements, payments, and travel in accordance with CERN rules.
  • Support planning and communication related to the KT Fund and MA budget process.
  • Schedule and coordinate large meetings, events, and conferences as needed.

Required Qualifications:
Candidates must possess a Bachelor’s degree or equivalent relevant experience in Business Administration, Project Management, or a related field such as Resource or Budget Management. The role requires demonstrated experience in administrative and business processes management within an international environment, as well as experience in providing customer service or front-line support to a diverse community. Familiarity with project and business processes management, along with experience using software platforms for project management, budget management, or resource management, is essential.

Educational Background:
A Bachelor’s degree in Business Administration, Project Management, or a related field is required. Equivalent relevant experience may also be considered in lieu of a formal degree. Candidates should have a solid understanding of administrative processes and project management principles.

Experience:
The position requires demonstrated experience in administrative and business processes management, particularly in an international context. Candidates should have a background in providing customer service or front-line support, as well as experience with project management and business processes. Familiarity with software platforms used in project management and resource management is also necessary.

Languages:
Fluency in spoken and written English is mandatory, with a commitment to learn French being highly desirable. Proficiency in additional languages may be considered an asset, but English is the primary language of communication within CERN.

Additional Notes:
This position is offered as a limited duration contract for 5 years, with the possibility of applying for an indefinite position under certain conditions. The working hours are set at 40 hours per week, and the job offers hybrid flexibility. The job grade is classified as 4-5, and the reference for this position is IPT-KT-2025-280-LD.
