Job Overview:
The role of the Asistente técnico/a administrativo/a is crucial for supporting the management of both physical and digital files within NRC's units. This position entails ensuring adherence to NRC's policies and guidelines while assisting in the implementation of support functions according to the action plan. The assistant will be responsible for preparing and developing status reports as required by the team leader, ensuring proper documentation for payment management, inventory, and other formats. The role also involves promoting ideas for improving support functions and executing tasks according to the work plan and development objectives. The assistant will manage various administrative processes, including travel arrangements, billing, and correspondence, ensuring efficient operations within the organization.

Duties and Responsibilities:
The Asistente técnico/a administrativo/a will have a wide range of responsibilities, including:
  • Ensuring compliance with NRC's policies, tools, manuals, and guidelines.
  • Supporting the implementation of the support function portfolio according to the action plan.
  • Preparing and developing required status reports for the team leader.
  • Ensuring proper documentation for payment management, inventory, and formats under their responsibility.
  • Promoting and sharing ideas for improving support functions.
  • Managing mobile networks from issuance to billing and payment.
  • Consolidating and validating data for administrative processes to deliver reports to management.
  • Managing and following up on accommodation service reservations, confirmations, billing, and reconciliations.
  • Providing support for travel service requests for NRC personnel and visitors, ensuring proper management from reservation to billing and payment. 1
  • Reviewing and following up on billing reports issued by service providers to ensure correct management. 1
  • Supporting the preparation of office management reports and other requested reports. 1
  • Collecting and consolidating the physical administrative files for primary transfer according to Document Management guidelines. 1
  • Managing and following up on correspondence processes from request to delivery, billing, and payment. 1
  • Performing other tasks assigned by the immediate supervisor to meet the objectives of the position.

Required Qualifications:
Candidates must possess a range of professional competencies essential for achieving desired results. These include:
  • Previous work experience, including internships or university practices, of at least one year.
  • Experience in support functions within humanitarian contexts.
  • Proven experience related to the responsibilities of the position.
  • Some knowledge of the English language.
  • Technical or technological background in business administration, economics, engineering, library science, or related fields, or being a student in the final semesters of these programs.
  • Proven experience in using MS Office.
  • Previous experience with related software is highly valued.
  • Experience in similar positions with international organizations, UN agencies, or in humanitarian contexts is positively regarded.
  • Willingness to learn and understand the nature of the work conducted by NRC. 1
  • Sensitivity and interest in social issues. 1
  • Behavioral competencies such as managing insecure environments, planning and achieving results, empowering and building trust, and communicating with impact and respect.

Educational Background:
The educational background required for this position includes a technical or technological degree in business administration, economics, engineering, library science, or related fields. Alternatively, candidates may be students in the final semesters of these programs. This educational foundation is essential for performing the duties and responsibilities associated with the role effectively.

Experience:
The position requires at least one year of relevant work experience, which may include internships or practical training. Candidates should have experience in support functions within humanitarian contexts and demonstrate proven experience related to the responsibilities of the position. Experience with international organizations, UN agencies, or in humanitarian settings is highly valued.

Languages:
Candidates must have some knowledge of the English language, which is considered a beneficial skill for the position. Proficiency in Spanish is mandatory, as it is the primary language of communication within the organization and the local context.

Additional Notes:
The contract for this position will be a fixed-term contract lasting less than one year, approximately four months, in accordance with Colombian labor legislation. The salary will be determined based on NRC's national evaluation and salary scale, ranging from $2,700,000 to $2,900,000, depending on the specific grade of the vacancy.
