Job Overview:
The Business Support Assistant position at WFP is designed to provide essential administrative support within the Management Services division. The role is crucial for ensuring that administrative tasks are executed efficiently and in alignment with WFP's policies and guidelines. The assistant will be responsible for a variety of functions, including managing information, supporting financial and administrative processes, and maintaining accurate records. This position requires a strong focus on customer service, as the assistant will interact with both internal staff and external suppliers. The role is integral to the successful implementation of WFP's Country Strategic Plan (CSP) for El Salvador, which aims to enhance national capacities, improve food systems, and increase resilience among vulnerable populations. The assistant will report directly to the Coordinator and will play a key role in supporting the operational needs of the organization.

Duties and Responsibilities:
  • Gather information to assist in the drafting of documents and preparation of reports by other staff members.
  • Respond to inquiries and refer them to higher levels when necessary to provide timely and accurate service to clients.
  • Support the processing and management of routine administrative and financial tasks across various functional areas to contribute to effective resource management.
  • Review and correct standard documents to ensure accurate documentation.
  • Maintain established systems and files to ensure information is accurate and readily available, keeping administrative processes up to date.
  • Identify simple discrepancies in statistics and data, communicating them to senior officials to assist clients in their work.
  • Ensure data integrity to facilitate the availability of accurate information in institutional systems.
  • Provide guidance on standard operational support methods and practices to less experienced colleagues to ensure consistent service delivery.
  • Collaborate with a diverse range of individuals, gathering feedback as necessary to assist in providing operational support. 1
  • Assist in administrative tasks related to facilities, office assets, vehicle management, compliance with policies, and staff travel. 1
  • Prepare requisitions and purchase orders related to consolidated administrative services. 1
  • Support various services such as facilities management, travel administration, and vehicle management, reporting discrepancies to supervisors to ensure timely and consistent service delivery. 1
  • Perform other duties as required.

Required Qualifications:
• Proficiency in using office equipment and software packages, including Microsoft Word. • Knowledge of daily work tasks and methods to complete processes with minimal supervision. • Tact and courtesy in exchanging information with a wide variety of individuals. • Ability to identify data discrepancies and resolve issues requiring attention. • Capability to provide basic guidance or training to subordinate staff in the workplace.

Educational Background:
Completion of secondary education is required. A Technical Degree in Business Administration or a related field is preferred, as it provides relevant knowledge and skills for managing office administration effectively.

Experience:
A minimum of four years of progressively responsible professional experience in the relevant operational area is required. Experience in general administrative tasks is essential, demonstrating increasing levels of responsibility over time.

Languages:
Fluency in Spanish, both spoken and written, is mandatory. Proficiency in English is considered an asset, as it may enhance communication within the organization and with international partners.

Additional Notes:
This position is offered under a Service Contract for a duration of six months. The role is based in San Salvador, El Salvador, and is classified as a full-time position.
