Job Overview: The Operations and Programme Assistant will play a crucial role in supporting the design, planning, execution, and management of UNFPA’s programs. This position is integral to providing operational and programmatic support, particularly in emergency response contexts at both national and sub-regional levels. The incumbent will be responsible for applying established systems and procedures, assisting in knowledge management, and ensuring compliance with financial transactions related to office management and operations. The role requires a collaborative approach, working closely with various stakeholders to facilitate effective program delivery and logistical support. The Operations and Programme Assistant will dedicate 80% of their time to regional support and 20% to national strategic initiatives, ensuring that UNFPA's mission is effectively implemented and that the health, dignity, and well-being of women and girls are safeguarded during crises.
Duties and Responsibilities: The incumbent will be responsible for providing programmatic and logistical support for UNFPA interventions, including workshops, capacity-building activities, and advocacy events. Key responsibilities include ensuring timely and efficient financial and administrative support, preparing payment approval documents, managing procurement processes, and establishing agreements with partners. The Operations and Programme Assistant will also contribute to forecasting future needs for supplies, maintaining inventory records, and coordinating logistics for UNFPA operations. The role involves close collaboration with other UN agencies, government bodies, and civil society organizations to ensure effective supply chain management, particularly in emergencies. The incumbent will undertake field monitoring visits, support travel logistics, assist in advocacy efforts, and compile data for reporting purposes. Additionally, the Operations and Programme Assistant will engage in outreach activities, manage social media content, and provide backstopping support to other team members as needed.
Required Qualifications: Candidates must possess a High School Diploma or a Bachelor’s Degree in Operations, finance, logistics, or administration. A High School Diploma requires six years of experience, while a Bachelor’s Degree requires five years of relevant experience. Previous experience in secretarial, financial, and administrative functions is essential, along with some experience in research assistance. Familiarity with the UN system and knowledge of protocol are advantageous. Experience with the Quantum ERP system and the UN ALL platform is also beneficial. Strong interpersonal and organizational skills, computer literacy, and good writing and communication skills are required for this position.
Educational Background: The educational background required for this position includes a High School Diploma or a Bachelor’s Degree in a relevant field such as Operations, finance, logistics, or administration. Candidates with a Bachelor’s Degree are preferred, as they are expected to have a deeper understanding of the operational and programmatic functions necessary for the role.
Experience: The position requires candidates to have a minimum of five years of relevant experience if they hold a Bachelor’s Degree, or six years of experience with a High School Diploma. This experience should include roles in secretarial, financial, and administrative functions, as well as some exposure to research assistance. Previous experience within the UN system is considered an advantage, particularly in understanding the operational protocols and procedures.
Languages: Fluency in English is mandatory for this position. Additionally, a working knowledge of any other UN language would be considered an asset, enhancing the candidate's ability to communicate effectively in a diverse and multicultural environment.
