Job Overview:
The Advisory Commission and Office Support Associate will play a crucial role in supporting the Geneva Liaison Office of UNRWA. This position involves providing secretarial, clerical, and administrative support, including managing protocol matters, drafting and editing correspondence, and assisting in the formatting and distribution of newsletters. The incumbent will handle public inquiries, manage the supervisor's calendar, and organize events and meetings for Geneva-based staff and visiting UNRWA delegations. This includes coordinating travel arrangements, booking venues, and preparing meeting agendas. The role also requires liaising with UN entities and other stakeholders to ensure smooth operations. Additionally, the associate will assist in budget preparation, tracking expenditures, and coordinating with the finance department for budget reviews and account closures. Human resources support is also part of the role, including recruitment processes and managing staff records.

Duties and Responsibilities:
The duties and responsibilities of the Advisory Commission and Office Support Associate include:
  • Providing secretarial and administrative support to the Geneva Liaison Office, including drafting and proofreading correspondence and managing public inquiries.
  • Organizing logistics for events, conferences, and meetings, including travel arrangements and venue bookings.
  • Liaising with UNOG for day-to-day support services and serving as the procurement point of contact for office supplies.
  • Drafting the annual office operational budget and ensuring compliance with financial instructions.
  • Supporting human resources functions, including recruitment and staff management.
  • Preparing logistics for the Advisory Commission meetings, including document circulation and onsite arrangements.
  • Maintaining the UNRWA AdCom website and ensuring timely posting of documents.
  • Coordinating preparation of relevant documentation and materials for meetings, ensuring compliance with UNRWA guidelines.

Required Qualifications:
Candidates must possess a two-year post-secondary diploma in Business Administration, Human Resources Management, Finance, or a related discipline. A university degree in Business Administration or a related field is desirable. Candidates should have at least six years of experience working with finance and HR rules, policies, and procedures in the UN or other international organizations. Experience in event organization, budget management, and bookkeeping is required. Proficiency in standard office applications such as Microsoft Office, Chimpmail, and CANVA is essential. Familiarity with UN/UNRWA systems and practices is also desirable.

Educational Background:
The educational background required for this position includes a two-year post-secondary diploma in Business Administration, Human Resources Management, Finance, or a related discipline. A university degree from an accredited institution in a relevant field is considered desirable, enhancing the candidate's qualifications for the role.

Experience:
Candidates are required to have at least six years of relevant work experience, particularly in finance and human resources within the UN or other international organizations. Experience in organizing events and managing budgets is also essential. Familiarity with UN systems and practices, particularly in Geneva, is advantageous.

Languages:
The mandatory languages for this position are English and French, as they are the working languages of the United Nations Secretariat. Candidates must demonstrate proficiency at UN Level III for reading, writing, listening, and speaking in both languages. Knowledge of Arabic or another UN language is considered desirable but not mandatory.

Additional Notes:
This position is a local post with a contract duration of two years, with the possibility of extension. It is subject to local recruitment, meaning applicants must be authorized to work for the United Nations in Geneva.
