Job Overview:
The Finance and Administration Support Services Coordinator is responsible for coordinating and providing comprehensive finance, budget, and administrative support services. This role involves the recording and interpretation of financial and budgetary information to ensure the efficient functioning of support services and to inform decision-making processes. The coordinator is expected to demonstrate initiative and responsibility, responding independently to queries with general guidance. The position requires the ability to manage resources effectively and to coach and coordinate a team of support staff. The role is critical in ensuring compliance with WFP financial policies and regulations, and it plays a vital part in the overall financial health of the organization. The coordinator will work closely with various teams to ensure that financial and administrative services are performed efficiently and in alignment with the needs of the organization, contributing to the successful implementation of WFP's mission.

Duties and Responsibilities:
  • Provide procedural and technical support to staff in finance and budget areas, ensuring compliance with WFP financial policies, rules, and regulations.
  • Assist in the development and implementation of financial policies and procedures, including the setup of proper accounting systems and cash controls.
  • Monitor daily cash positions to optimize surplus cash usage and maximize investment returns.
  • Oversee the centralized registry system to ensure timely processing of payments to internal staff and invoices to external suppliers.
  • Contribute to budget preparation, implementation, and monitoring, ensuring future funding requirements are met.
  • Coordinate with other teams to ensure efficient performance of financial and administrative services.
  • Monitor account balances and process financial transactions accurately to prevent overdrafts.
  • Analyze general ledger accounts to initiate corrective actions as necessary.
  • Compile data from WFP databases to assist in generating and analyzing monthly financial reports. 1
  • Allocate tasks to support staff, providing guidance and on-the-job training in financial resource management. 1
  • Maintain readiness for emergency preparedness to meet immediate service requirements in the field.

Required Qualifications:
Candidates must possess a post-secondary certificate in a related functional area, along with a minimum of six years of progressively responsible work experience in the relevant business stream, particularly in general administrative work. The role requires a strong understanding of financial health assessment and compliance with local laws, as well as experience working with auditors and third-party vendors. Candidates should demonstrate proficiency in financial management and possess strong analytical skills to interpret financial data effectively.

Educational Background:
The minimum educational requirement for this position is the completion of secondary school education, complemented by a post-secondary certificate in a relevant functional area. This educational background is essential to ensure that candidates have the foundational knowledge necessary to perform the duties associated with finance and administration support services effectively.

Experience:
The position requires at least six years of progressively responsible experience in the relevant business stream, with a focus on general administrative work. Candidates should have a proven track record of managing financial resources, assessing financial health, and ensuring compliance with local laws and regulations. Experience in working with auditors and third-party vendors is also essential for this role, as it involves significant interaction with external parties to ensure financial integrity and compliance.

Languages:
Fluency in both oral and written communication in the UN language used at the duty station is mandatory. Additionally, proficiency in the local language of the duty station, if different, is highly desirable. This language proficiency is crucial for effective communication within the organization and with external stakeholders.
