Job Overview:
The internship-position" style="border-bottom: 1px dotted #007bff !important;">internship position is situated within the logistics and information systems department, reporting directly to the Logistics and General Means Manager. The intern will serve as the first point of contact for external visitors from diverse cultural backgrounds. The role requires a polished presentation, a strong sense of service, organizational skills, and dynamism. The intern will support the General Services in managing the daily operations of the site and ensuring its security and functionality. This position is crucial for maintaining a welcoming and efficient environment for both staff and visitors, contributing to the overall mission of SOLIDARITES INTERNATIONAL.

Duties and Responsibilities:
The intern's responsibilities will include managing daily operations by responding to the needs of headquarters staff both on-site and remotely, ensuring the replenishment of consumables for staff, participating in site security, and reporting any anomalies or malfunctions to the Logistics and General Means Manager. The intern will also be responsible for the daily organization of meeting rooms, cafeteria, and communal areas, managing waste disposal, and maintaining cleanliness. Additionally, the intern will handle reception duties, including maintaining records of service providers and visitors, providing information about SOLIDARITES INTERNATIONAL to visitors, managing phone calls, coordinating staff arrivals and departures, and overseeing access badge distribution. The intern will assist in organizing internal and external events, managing room reservations, and identifying equipment needs for events. Furthermore, the intern will track office supplies, participate in monthly inventory checks, and manage incoming and outgoing mail and packages, ensuring proper archiving of delivery notes according to organizational rules. This list is not exhaustive, and other related tasks may be assigned by the supervisor as needed.

Required Qualifications:
Candidates should have a background in hospitality or executive secretarial studies. The ideal candidate will possess strong organizational skills, a proactive attitude, and the ability to work effectively in a team-oriented environment. A commitment to the values and mission of SOLIDARITES INTERNATIONAL is essential, as is the ability to interact professionally with individuals from diverse backgrounds.

Educational Background:
A degree or training in hospitality management, office administration, or a related field is preferred. Candidates should demonstrate a solid understanding of office procedures and customer service principles, as well as a willingness to learn and adapt to the dynamic environment of a humanitarian organization.

Experience:
While prior experience in a similar role is not mandatory, any relevant internships or volunteer work in logistics, administration, or customer service will be considered an asset. The organization values enthusiasm and a willingness to learn over extensive experience, making this position suitable for recent graduates or those looking to gain practical experience in the field.

Languages:
Fluency in French is mandatory, as the position requires interaction with French-speaking staff and visitors. Proficiency in English is also desirable, as it may be necessary for communication with international colleagues and stakeholders. Additional language skills would be considered a plus, enhancing the candidate's ability to engage with a diverse range of individuals.

  • Interns will receive a stipend of €4.90 per hour, calculated based on actual hours worked each month (approximately 154 hours per month, equating to 22 days of 7 hours each). Public transport costs will be reimbursed at 50% by SOLIDARITES INTERNATIONAL, and interns will receive meal vouchers worth €8.90 per day worked, with a 60% contribution from the organization.
