Job Overview:
The position of Administrative and Communication Support is designed to provide essential administrative and communication assistance under the supervision of the Communication and Outreach Programme Expert. The incumbent will play a crucial role in the effective implementation of various campaigns, publications, and digital communication activities. This role requires a proactive approach to managing inquiries, coordinating communications, and supporting the overall objectives of the UPU's communication strategy. The successful candidate will be expected to handle a variety of tasks ranging from administrative duties to digital content management, ensuring that all communication efforts align with the UPU's mission and goals. The position demands a high level of professionalism, attention to detail, and the ability to work collaboratively within a team to achieve desired outcomes.

Duties and Responsibilities:
The duties and responsibilities of the Administrative and Communication Support position include:
  • Managing daily inquiries from designated email addresses, responding to or redirecting them as necessary.
  • Validating password requests for protected areas of the UPU website.
  • Preparing and coordinating correspondence and circular letters.
  • Archiving legal contracts and maintaining a communication and media contact database.
  • Assisting in the preparation of the yearly budget for communication activities and monitoring expenditures.
  • Supporting the production and distribution of UPU publications and managing website content.
  • Uploading newsletters and supporting content production for social media platforms.
  • Coordinating public relations activities such as World Post Day and the international letter-writing competition.
  • Supporting logistical organization for events and missions. 1
  • Assisting with other communication projects and campaigns as required.

Required Qualifications:
Candidates must possess proficiency in Office tools (Word, Excel, Outlook, PowerPoint) and have experience in processing invoices and tracking budgets. Familiarity with content management systems, particularly Kentico, is required. Excellent writing skills and attention to detail are essential, along with a working knowledge of social media and media monitoring platforms such as Mailchimp, Meltwater, Instagram, Facebook, LinkedIn, and X. Basic skills in visual content creation, including photo and video editing tools like Canva, Adobe Photoshop, and Adobe Premiere Pro, are also required. Candidates should demonstrate strong organizational skills, the ability to work autonomously, and excellent interpersonal and intercultural communication skills.

Educational Background:
The educational background required for this position includes secondary-level studies and commercial or secretarial training, or equivalent qualifications. This foundational education is essential for performing the administrative and communication tasks effectively.

Experience:
A minimum of four years of experience in administrative and communication support is required. Experience in an international environment is desirable, as it will provide the candidate with a broader understanding of the UPU's global operations and the diverse contexts in which it functions.

Languages:
The working languages of the United Nations Secretariat are English and French. For this position, candidates must have advanced proficiency in English (UN level III) and intermediate proficiency in French (UN level II) is desirable. This bilingual requirement is crucial for effective communication within the UPU and with its member countries.
