Job Overview:
The Intern will work under the overall supervision of the Chief of Mission (CoM) and direct supervision of the National Resource Management Officer (NRMO). The primary responsibility of the intern will be to assist in managing the resources management functions within the Human Resources Unit. This role involves providing clerical assistance to ensure the smooth operation of HR processes and activities. The intern will engage in various recruitment processes, including the circulation of vacancy announcements, arranging interviews, preparing necessary materials for interviews and technical tests, conducting reference checks, and communicating with candidates. The intern will also be responsible for maintaining accurate data in the organizational HR system, generating reports, and managing personnel files. Additionally, the intern will support the organization of meetings, training activities, and other HR events by handling logistical arrangements. This internship provides an opportunity to gain experience in an international multicultural environment and to understand IOM's work in migration.

Duties and Responsibilities:
  • Provide clerical assistance for the smooth running of Human Resources processes and activities.
  • Assist in recruitment processes, including circulation of vacancy announcements, interview arrangements, and preparation of materials for interviews and technical tests.
  • Conduct reference checks and communicate with candidates regarding their application status.
  • Input and maintain data in the organizational HR system, ensuring data consistency and accuracy.
  • Generate reports and prepare other HR-related documentation as required.
  • Maintain orderly personnel files of staff and other HR documents, both electronic and hard copies.
  • Assist in drafting and formatting reports, letters, and other HR correspondence.
  • Support the organization of meetings, training activities, and other HR events by managing logistical arrangements.
  • Perform other related duties as assigned by the supervisor.

Required Qualifications:
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and ability to organize paperwork methodically.
  • Discretion and a client-oriented approach.
  • Willingness to learn and adapt to new tasks.
  • Prior work experience with international humanitarian organizations or in a multicultural setting is an advantage.

Educational Background:
Candidates must be enrolled in the final year of a Bachelor's degree (or equivalent) in Business Administration, Human Resources, or related fields. Alternatively, candidates may be enrolled in a Master’s program in similar disciplines or have graduated from a Bachelor's/Master’s degree within the last 12 months prior to the internship start date.

Experience:
The ideal candidate should have a foundational understanding of human resources processes and be proficient in Microsoft Office applications. Experience in a multicultural environment, particularly with international organizations, is highly desirable. The candidate should demonstrate attention to detail and possess strong organizational skills.

Languages:
The official languages of IOM are French and English. Excellent writing and formatting skills in both languages are required, with a strong proficiency in MS Office applications being essential.

Additional Notes:
The internship is subject to funding confirmation and the candidate's medical fitness for appointment. Interns may receive a small monthly stipend to help offset costs, but those receiving financial remuneration from other sources will not be eligible for this stipend. IOM provides coverage against occupational accidents and illnesses under the Compensation Plan for the duration of the internship. However, interns are responsible for their own medical insurance for non-occupational accidents or illnesses. IOM has a zero-tolerance policy regarding conduct incompatible with its aims and objectives, including discrimination and harassment. The organization does not charge any fees during the recruitment process and only accepts applications submitted through its online recruitment system.
