Job Overview:
The Legal Assistant will work under the general supervision of the Resource Management Officer (RMO) and the direct supervision of the National Legal Assistance Officer. This role involves supporting the review of legal documentation for the integration of files related to agreements signed with counterparts, service providers, and implementing partners. The assistant will maintain control over received documentation and pending files, monitor and update assigned databases, and organize both digital and physical files of the Legal Unit. The position also includes general administration of the Legal Unit, assisting in the management of signatures for contracts and legal documents, and ensuring that necessary documentation is updated for contract preparation. The assistant will also support the Legal Unit in drafting contracts, amendments, and donation acts when necessary, and will be responsible for requesting and following up on the approval of legal documents. Additionally, the role requires assigning reference numbers to approved agreements for signature and maintaining proper control over these documents. The assistant will also assist in translating documents between English and Spanish as needed, and perform other relevant functions assigned by the supervisor according to the needs of the position.

Duties and Responsibilities:
  • Support the review of legal documentation for the integration of files related to agreements with counterparts, service providers, and implementing partners.
  • Maintain control over received documentation and pending files for archiving.
  • Monitor and update assigned databases.
  • Organize and maintain proper control of digital and physical files of the Legal Unit.
  • General administration of the Legal Unit.
  • Assist in managing signatures for contracts, amendments, and other legal documents signed by IOM.
  • Keep files updated with necessary documentation for contract preparation, agreements, and donation acts.
  • Ensure that all necessary documentation is available and refined for the preparation of contracts, agreements, and conventions.
  • Assist the Legal Unit in drafting contracts, amendments, and donation acts when necessary. 1
  • Request and follow up on the approval of legal documents from LEGCR when necessary. 1
  • Assign reference numbers to approved agreements for signature and maintain proper control over these. 1
  • Assist in translating documents from English to Spanish and vice versa. 1
  • Perform other relevant functions assigned by the supervisor as needed for the proper administration of the Legal Unit.

Required Qualifications:
  • Recent graduate or in the process of obtaining a degree in Law or administrative/social careers.
  • Proficiency in Office 365 and database management.
  • Experience in file management.
  • At least one year of experience in a similar position.
  • Excellent spelling and writing skills.
  • Attention to detail and ability to work under pressure.
  • Goal-oriented and results-driven.
  • Knowledge of legal and administrative procedures of the United Nations system will be considered an advantage.

Educational Background:
Candidates must be recent graduates or in the process of obtaining a degree in Law or related administrative/social fields. Accredited universities are those listed in the UNESCO World Higher Education Database.

Experience:
Candidates should have at least one year of experience in a similar position. Experience with Office 365 and database management is essential, along with file management skills. The ability to work under pressure and maintain attention to detail is crucial for success in this role.

Languages:
Proficiency in both Spanish and English is mandatory for this position. The ability to translate documents between these two languages is also required.
