Job Overview:
The position of Administrative Assistant within the Counter Trafficking and Border Governance Team at IOM Brazil involves providing essential support to the unit's activities. The successful candidate will work under the direct supervision of the Coordinator of the Counter Trafficking and Border Governance Team. The role includes assisting in project development, reporting, monitoring, evaluation, and knowledge management. The candidate will be expected to engage in various administrative tasks, ensuring the smooth operation of ongoing projects aimed at countering trafficking and smuggling of migrants, as well as integrated border management in Brazil. This position is critical in supporting the Brazilian government in ensuring that forcibly returned citizens are treated with dignity and that their human rights are respected.
Duties and Responsibilities:
The Administrative Assistant will be responsible for executing various administrative tasks, including but not limited to: executing WAVE and other administrative tasks as required; supporting text editing, proofreading, and translation to ensure the quality of IOM products and materials; assisting with the operational and administrative aspects of ongoing projects, including monitoring project implementation and tracking activities and results achieved; providing administrative assistance to the Counter Trafficking and Border Governance Team, including identifying and tracking follow-up actions and procurement actions; supporting the implementation of projects aimed at countering trafficking, smuggling of migrants, and integrated border management; planning, organizing, managing logistics, and facilitating different events and activities; and performing other work-related tasks as required.
Required Qualifications:
Candidates must possess a high school diploma with a minimum of four years of relevant professional experience, or a university degree in administration, social sciences, economics, law, public policy, health, or a related field from an accredited academic institution with at least two years of experience. Accredited universities are those listed in the UNESCO World Higher Education Database. The role requires a strong understanding of administrative processes and the ability to work effectively in a team-oriented environment.
Educational Background:
The educational background required for this position includes either a high school diploma with extensive relevant experience or a university degree in a relevant field such as administration, social sciences, economics, law, public policy, or health. The degree must be from an accredited institution recognized by the UNESCO World Higher Education Database. This educational foundation is essential for understanding the complexities of migration issues and the administrative tasks associated with the role.
Experience:
Candidates should have a minimum of two years of relevant work experience. This experience should ideally include working with government, civil society, UN, or private sector actors. Familiarity with operational systems and event organization is also important. Experience in migration and refugee issues, whether in the public or private sector, international organizations, or civil society, is highly desirable. This background will enable the candidate to effectively contribute to the mission of IOM and support its various projects.
Languages:
The position requires proficiency in Portuguese and English at an advanced level. Additionally, knowledge of Spanish at an advanced level is considered advantageous. Proficiency in these languages will be specifically evaluated during the selection process, which may include written and/or oral assessments. Given that IOM's official languages are English, French, and Spanish, the ability to communicate effectively in these languages is crucial for collaboration and reporting.
Additional Notes:
This position is subject to local recruitment, and only candidates holding a valid residence and work permit for Brazil will be eligible for consideration.
