Job Overview: The Field Office Associate position is crucial for the effective implementation of project activities under the supervision of the Chief of Mission and the Programme Manager (Peacebuilding and Reconciliation). This role encompasses a variety of administrative and financial support functions aimed at facilitating project operations. The Field Office Associate will be responsible for maintaining communication among team members, stakeholders, and the community, thereby contributing to the overall success of project objectives. The position requires a proactive approach to managing daily administrative tasks, organizing project documentation, and ensuring that all project activities are executed smoothly and efficiently. The associate will also play a key role in logistical planning for project events and workshops, ensuring that all necessary arrangements are made for successful execution.
Duties and Responsibilities: The Field Office Associate will undertake a comprehensive set of duties, including but not limited to: assisting in daily administrative tasks such as drafting correspondence, scheduling meetings, and maintaining project documentation; organizing and maintaining both electronic and physical files for easy access; coordinating meetings with project stakeholders, preparing agendas, taking minutes, and following up on action points; assisting in logistical planning for project events, workshops, and training sessions; inputting and maintaining project data in databases and spreadsheets; serving as a point of contact for team members and liaising with government stakeholders and community leaders; tracking project expenses and preparing financial reports; providing logistical and administrative support to project team members; supporting the implementation of project activities in line with organizational standards; compiling inputs for new concept notes or proposals; handling administrative processes such as raising online purchase requisitions; and performing any other duties as assigned.
Required Qualifications: Candidates must possess a high school diploma with five years of relevant experience, or a Bachelor’s degree in Business Administration, Project Management, Development, Social or Political Sciences, Peacebuilding, Management, or related fields from an accredited institution with three years of relevant professional experience. Accredited Universities are those listed in the UNESCO World Higher Education Database. The position requires strong organizational skills, attention to detail, and the ability to work independently as well as part of a team. Proficiency in Microsoft Office applications is essential, and familiarity with peacebuilding and reconciliation activities is advantageous.
Educational Background: The educational background required for this position includes a high school diploma or a Bachelor’s degree in relevant fields such as Business Administration, Project Management, Development, Social or Political Sciences, Peacebuilding, Management, or related disciplines. The degree must be from an accredited institution recognized by the UNESCO World Higher Education Database, ensuring that candidates have a solid foundation in the principles and practices relevant to the role.
Experience: Candidates should have substantial experience providing administrative and logistical support, particularly in coordination with various stakeholders and liaising with government authorities and community leaders. Experience in supporting project implementation, including monitoring, reporting, or data collection in field settings, is essential. Familiarity with peacebuilding and reconciliation activities is a significant advantage, as is experience working in field offices or areas affected by conflict or instability. Exposure to participatory approaches and a basic understanding of do-no harm principles will be beneficial for candidates.
Languages: Fluency in English, both oral and written, is mandatory for this position. Additionally, candidates must be proficient in the native languages of Northwest Nigeria, specifically Hausa and Fulfulde. Knowledge of IOM’s official languages, which include French and Spanish, is considered an asset. Language proficiency will be evaluated during the selection process, which may include written and/or oral assessments to ensure candidates meet the communication requirements of the role.
Additional Notes: This position is subject to local recruitment, meaning only candidates holding a valid residence and work permit for Nigeria will be considered. The appointment will be contingent upon certification of medical fitness, verification of residency, and necessary government authorizations. The selection process may also be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment in similar roles for a period of 24 months.
