Job Overview: The Logistics/Administrative Clerk plays a crucial role in supporting the WHO's programs in South Sudan by providing logistics and administrative assistance. This position involves a variety of tasks aimed at ensuring the smooth implementation and management of WHO's initiatives. The incumbent will be responsible for liaising with program counterparts, managing logistics, and providing comprehensive secretarial support. Key functions include drafting correspondence, arranging travel, processing government clearances, and coordinating meetings. The role requires a proactive approach to problem-solving and the ability to work under the direct supervision of the Sub Office Coordinator, ensuring that all administrative and logistical tasks are executed efficiently and in alignment with WHO's operational standards.
Duties and Responsibilities: The Logistics/Administrative Clerk will undertake a wide range of duties, including but not limited to:
Tracking the status of authorized funds for polio-related activities and preparing financial reports after each round of supplementary immunization activities (SIAs) and national vaccination days (NTAs).
Disbursing funds for polio activities in strict adherence to WHO procedures.
Ensuring timely payment of salaries to field staff.
Managing transport resources and ensuring compliance with WHO vehicle management standards.
Compiling monthly reports on fuel and vehicle usage, ensuring all vehicles are insured.
Overseeing stock management and warehousing practices, including maintaining records of supply distribution and conducting quarterly inventories.
Implementing asset management processes, including maintaining a Fixed Asset Register and ensuring accountability for assets.
Managing office compound safety and security" style="border-bottom: 1px dotted #007bff !important;">security, ensuring a clean and organized work environment.
Communicating logistical needs and requirements to the WCO South Sudan logistics officer. 1
Performing other related duties as assigned by the Sub Office Coordinator.
Required Qualifications: Candidates must possess a strong understanding of administrative and logistical processes, with demonstrated professionalism and the ability to manage records accurately. Effective organizational skills and the ability to work independently are essential. The candidate should also have good interpersonal skills to work in a diverse environment and the ability to communicate clearly and concisely, both in writing and verbally.
Educational Background: Essential qualifications include the completion of secondary education or equivalent technical or commercial education with a specialization in accounting, budgeting, or finance. A diploma, degree, or higher education in administration, accounting, or finance is desirable and will be considered an advantage.
Experience: Candidates should have at least 2-4 years of administrative experience, preferably with a background in program and project coordination, finance, or logistics. Relevant experience within WHO, UN, or other international organizations is highly desirable and will enhance the candidate's suitability for the role.
Languages: Expert-level knowledge of English is mandatory for this position. Proficiency in additional languages may be considered an asset but is not required.
