Job Overview:
The coordinator" style="border-bottom: 1px dotted #007bff !important;">Administrative Coordinator will provide essential managerial assistance and administrative support to the General Manager of the Andean Countries Department (CAN). This department is responsible for the strategic programming and development of the Bank's initiatives in Bolivia, Colombia, Ecuador, Peru, and Venezuela. The role involves managing high-level agendas, coordinating travel, and ensuring effective internal communications. The coordinator will also be responsible for organizing logistics for missions, conferences, and events, ensuring compliance with institutional policies, and maintaining professional communications with various stakeholders. This position is crucial for the smooth operation of the department and requires adaptability to changing demands.
Duties and Responsibilities:
The Administrative Coordinator will be tasked with providing comprehensive administrative and logistical support to the Department Manager. Key responsibilities include organizing and preparing all logistical requirements for missions and events, processing travel authorizations and expense reports, coordinating visa arrangements, and managing post-travel follow-ups. The coordinator will serve as a liaison between the Department Manager and stakeholders, managing communications with professionalism and confidentiality. They will draft and proofread official correspondence in both English and Spanish, coordinate logistics for internal and external events, oversee time and labor reporting, and maintain work management platforms. Additionally, the coordinator will monitor the control dashboard for timely execution of activities and propose follow-up meetings to track progress.
Required Qualifications:
Candidates must possess a Bachelor’s degree in business administration, accounting, finance, human resources, management, or a related field. They should have at least 2 years of relevant professional experience in administration, accounting, human resources, or payments. Proficiency in both Spanish and English is required, with additional knowledge of French and Portuguese being preferable. Candidates must also be citizens of one of the 48-member countries of the IDB and have no family members working at the IDB or its affiliates.
Educational Background:
A Bachelor’s degree in a relevant field such as business administration, accounting, finance, human resources, or management is required for this position. This educational background provides the necessary foundation for understanding the complexities of administrative functions and the financial aspects of the role.
Experience:
The position requires a minimum of 2 years of relevant professional experience in administration, accounting, human resources, or payments. This experience is essential for effectively managing the diverse responsibilities of the Administrative Coordinator role and ensuring compliance with institutional policies.
Languages:
Proficiency in Spanish and English, both spoken and written, is mandatory for this position. Knowledge of French and Portuguese is considered an asset and may enhance communication with a broader range of stakeholders.
Additional Notes:
The position is offered as an international staff contract for an initial duration of 36 months, with the possibility of renewal upon mutual agreement.
