The Secretariat is currently seeking to recruit a Facilities and Administration Assistant Consultant to join its team at its headquarters located in Songdo, Republic of Korea. The assignment is initially set for 240 days over a 12-month period.
Job Overview: The Facilities and Administration Consultant will play a vital role in supporting the various workstreams of the General Services Team, thereby enhancing the functionality and effectiveness of the GCF Headquarters. This position involves performing a range of manual, interpersonal, and administrative tasks that are essential for the smooth operation of the office environment. The consultant will be expected to proactively ensure that the GCF premises are tidy and functional, which is critical for maintaining a professional and welcoming atmosphere. The role also includes assisting with various administrative tasks, such as managing mail, printing documents, and data entry, which are fundamental to the daily operations of the organization. Additionally, the consultant will be responsible for accompanying suppliers and service providers, liaising with building management and facilities contractors, and performing basic manual tasks such as rearranging furniture and addressing any anomalies that may arise. The consultant will also take stock of inventory items, including stationery and first aid kits, and assist with facilities and administration requirements during events. Furthermore, the consultant will be tasked with receiving and accompanying visitors to the GCF premises and performing courier duties for document collection between Songdo and Seoul. Serving at the reception desk may also be required when necessary.
Duties and Responsibilities: The Facilities and Administration Consultant will report directly to the Manager of the General Services Team and will be responsible for a variety of tasks that include but are not limited to:
Proactively ensuring that GCF premises are tidy and functional, maintaining a clean and organized work environment.
Assisting with administrative tasks such as managing mail, printing documents, and performing data entry to support the office's operational needs.
Accompanying suppliers and service providers during their visits to ensure smooth interactions and service delivery.
Liaising with building management and facilities contractors to address any maintenance or operational issues that may arise.
Performing basic manual tasks, including rearranging furniture and addressing any anomalies that may occur in the office setup.
Taking stock of inventory items, such as stationery, first aid kits, and printing paper, to ensure that necessary supplies are always available.
Assisting with facilities and administration requirements during events, contributing to the successful execution of GCF-hosted activities.
Assisting with receiving and accompanying visitors to GCF premises, ensuring a welcoming experience for all guests.
Performing courier duties for document collection, specifically between Songdo and Seoul, to facilitate timely communication and document handling. 1

Required Qualifications: The position requires candidates to possess fluency in both English and Korean languages, which is essential for effective communication within the organization and with external stakeholders. Additionally, a valid Korean driver’s license is a requirement for this role. Candidates should hold a Master’s Degree with at least 1 year of relevant experience, or a Bachelor’s Degree with an additional 2 years of relevant experience. The ideal candidate will have between one to three years of relevant experience, preferably in an international working environment, which will enhance their ability to navigate the diverse and multicultural setting of the GCF. Excellent verbal communication and interpersonal skills are crucial for this position, as the consultant will be interacting with various stakeholders. The ability to prioritize tasks, manage expectations, and actively listen to the needs of others is also essential. Flexibility to work outside of regular working hours may be required, depending on the demands of the role.
Educational Background: Candidates are expected to have a Master’s Degree in a relevant field, which provides a strong foundation for understanding the complexities of facilities and administration within an international organization. Alternatively, a Bachelor’s Degree accompanied by additional relevant experience is acceptable.
