Job Overview:
The Procurement Assistant position is situated within the Procurement Unit of the Division of Administration at ECLAC in Santiago. The role involves supporting the procurement and supply chain processes, ensuring compliance with legal and financial requirements, and providing administrative assistance. The Procurement Assistant will report to the Chief Procurement Officer and Senior Procurement Assistant, and will be responsible for a variety of tasks including monitoring processes, organizing information for reports, generating statistical reports, and providing logistical support for meetings and conferences. The position requires a proactive approach to problem-solving and the ability to work collaboratively within a team to achieve organizational goals. The successful candidate will play a crucial role in facilitating procurement activities and ensuring efficient operations within the unit.

Duties and Responsibilities:
The Procurement Assistant will perform a wide range of duties including:
  • Providing office support and administrative functions related to procurement and supply chain.
  • Monitoring processes and schedules to ensure compliance with relevant requirements.
  • Researching and compiling information for reports and meetings.
  • Generating statistical reports and work orders using databases.
  • Offering secretarial and logistical support for meetings and conferences.
  • Assisting in the preparation of presentation materials.
  • Performing data entry and extraction functions.
  • Managing mail and documents, ensuring timely follow-up on actions.
  • Conducting general administrative tasks such as arranging meetings and processing documents. 1
  • Maintaining electronic and paper files and databases. 1
  • Providing software and office equipment support. 1
  • Guiding less experienced staff on office processes and procedures. 1
  • Assisting in data collection and analysis for decision-making. 1
  • Updating information materials such as web pages or brochures. 1
  • Supporting supplier registration and monitoring participation in tenders. 1
  • Maintaining Excel spreadsheets for supplier monitoring across various offices. 1
  • Performing other duties as assigned by supervisors.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. For positions in the General Service category, it is essential to clearly indicate completion of high school in the Applicant Profile. Additionally, candidates should have at least three years of experience in administrative procurement or supply chain support. This requirement is reduced to one year for those with a first-level university degree or higher. Experience in general office support is desirable, as well as experience in data analytics or related areas. Candidates should demonstrate professionalism, teamwork, and client orientation in their work.

Educational Background:
