Job Overview:
The Programme Assistant plays a crucial role in supporting the State Head of Office and the State Programme team in the daily management of the office, as well as in the planning, implementation, and monitoring of activities. This position requires effective administrative, logistical, and programmatic support to ensure the smooth operation of the State Office. The Programme Assistant will report directly to the State Head of Office and will be instrumental in facilitating communication and collaboration among team members and external partners. The role is designed for individuals who are proactive, organized, and capable of managing multiple tasks efficiently while contributing to the overall mission of UNFPA.

Duties and Responsibilities:
The Programme Assistant will be responsible for a variety of tasks, including:
  • Administrative Management: Supporting the preparation and revision of annual and quarterly work plans, organizing travel and missions for staff and partners, and ensuring effective internal and external communication.
  • Research and Knowledge Management: Assisting in the preparation of programme events, managing correspondence, maintaining an accurate e-filing system, and providing general research support.
  • Programme, Financial, and Operational Support: Offering day-to-day support for programme financial operations, assisting with procurement and planning, managing logistical arrangements for events, and ensuring compliance with UNFPA policies and procedures.
  • Additional Duties: Carrying out any other responsibilities as assigned by UNFPA leadership, which may include supporting recruitment processes and managing office supplies.

Required Qualifications:
Candidates must possess completed Secondary Level Education as a minimum requirement, with a first-level university degree being desirable. Additionally, candidates should have a strong proficiency in current office software applications and a basic understanding of financial management. Previous experience in project or programme management within private, national, or international organizations is essential, with five years of experience required for those with a high school certificate, or two years for those with a bachelor's degree. Familiarity with ERP systems, particularly PeopleSoft, is also required, along with good writing and communication skills.

Educational Background:
The educational background required for this position includes completed Secondary Level Education as a minimum. A first-level university degree is considered desirable, indicating that candidates with higher education will have an advantage in the selection process. This educational foundation is essential for understanding the complexities of programme management and administrative support within the UNFPA framework.

Experience:
The position requires candidates to have a minimum of five years of relevant experience in supporting project or programme management if they hold a high school certificate. Alternatively, candidates with a bachelor's degree are expected to have at least two years of relevant experience. This experience should ideally be within private, national, or international organizations, with a preference for those who have worked in the UN, multilateral agencies, or NGOs. The ability to work independently as well as part of a team is crucial, along with a demonstrated capacity for managing multiple tasks effectively.

Languages:
Fluency in English, both oral and written, is mandatory for this position. Additionally, a working knowledge of one of the Indian official languages is desirable, as it will facilitate communication with local partners and stakeholders. Knowledge of other UN languages is considered an asset, enhancing the candidate's ability to engage in a diverse and multicultural work environment.

Additional Notes:
This position is classified at the G5 level and is a full-time, fixed-term role with a duration of one year, subject to renewal based on performance and organizational needs. The position is non-rotational, meaning that the successful candidate will remain in the same location throughout their tenure. The compensation package includes a competitive net salary of INR 11,70,287, along with health insurance and other applicable benefits.
