Job Overview: The Programme Assistant plays a crucial role in supporting the design, planning, and management of UNFPA's programs. Reporting directly to the Liaison Officer, the Programme Assistant is responsible for providing administrative support and facilitating operational processes to achieve the UNFPA mandate. This includes following up on audit recommendations and applying established systems and procedures to ensure effective knowledge management. The role involves compiling and synthesizing information related to population and development, reproductive health and rights, and gender issues, which are essential for program development. The Programme Assistant is also tasked with ensuring compliance with financial transaction processes related to office management and operations, thereby contributing to the overall efficiency of the office.
Duties and Responsibilities: The Programme Assistant is responsible for providing substantive programmatic and logistical support for various UNFPA initiatives, including workshops, capacity-building activities, and advocacy events. Key duties include ensuring timely and efficient financial and administrative support, such as processing payments, maintaining petty cash, and managing office supplies and services. The Programme Assistant will collaborate closely with the Sub-regional Office (SROC) and other UN agencies to coordinate logistics and supply chain management, particularly in emergency situations. This role also involves conducting field monitoring visits, liaising with stakeholders, and contributing to knowledge sharing by documenting findings and best practices. The Programme Assistant will assist in advocacy and resource mobilization efforts, maintain networks of donor contacts, and support the posting of relevant materials on social media. Additionally, the Programme Assistant will facilitate financial record-keeping and ensure compliance with HACT financial rules and procedures.
Required Qualifications: Candidates must possess a High School Diploma, with additional college studies in health, population, demography, economics, management, or related social sciences considered an asset. Proficiency in current office software applications is required. The ideal candidate should demonstrate integrity, commitment to UNFPA's mission, and the ability to embrace cultural diversity and change. Strong analytical and strategic thinking skills, emotional intelligence, and effective communication abilities are essential for success in this role.
Educational Background: A High School Diploma is required for this position. Candidates with some college education in relevant fields such as health, population, demography, economics, management, or other related social sciences will be viewed favorably. Experience: Candidates should have at least 5 years of relevant administrative support experience.
