Job Overview: The Programme Assistant plays a crucial role in supporting the State Head of Office and the State Programme team in the daily management of the office, as well as in the planning, implementation, and monitoring of activities. This position requires effective and timely administrative, logistical, and programme support to ensure the smooth operation of the State Office. The Programme Assistant will report directly to the State Head of Office and will be integral in facilitating communication and collaboration among team members and external partners. The role involves a variety of tasks, including managing documentation, organizing events, and assisting with financial operations, all aimed at enhancing the effectiveness of the UNFPA's country programme.
Duties and Responsibilities: The Programme Assistant is responsible for a wide range of duties, including:
Administrative Management: Supporting the preparation and revision of annual and quarterly work plans, organizing travel and missions for staff and partners, and ensuring timely documentation for technical meetings.
Research and Knowledge Management: Assisting in the preparation of programme events, managing correspondence, maintaining an accurate e-filing system, and preparing reports on programme activities.
Programme, Financial, and Operational Support: Providing day-to-day support for programme financial operations, assisting with procurement and planning, managing travel arrangements, and supporting recruitment processes.
Additional Duties: Carrying out any other responsibilities as assigned by UNFPA leadership, ensuring that all tasks are completed efficiently and effectively.
Required Qualifications: Candidates must possess completed Secondary Level Education as a minimum requirement, with a first-level university degree being desirable. Additionally, candidates should have a strong proficiency in current office software applications and a good understanding of financial processes. Previous experience in project or programme management within private, national, or international organizations is essential, with five years of experience required for those with a high school certificate, or two years for those with a Bachelor's degree. Familiarity with ERP systems, particularly PeopleSoft, is also required, along with strong writing and communication skills.
Educational Background: The educational background required for this position includes a completed Secondary Level Education as a minimum. While a first-level university degree is desirable, it is not mandatory. Candidates should demonstrate proficiency in relevant software applications and possess a good understanding of financial management principles.
Experience: The position requires candidates to have a minimum of five years of relevant experience in supporting project or programme management if they hold a high school certificate, or two years of experience if they possess a Bachelor's degree. This experience should ideally be within private, national, or international organizations, with a preference for candidates who have worked in the UN, multilateral agencies, or NGOs. The ability to work independently as well as part of a team is crucial, along with a strong understanding of financial processes and office software applications.
Languages: Fluency in English, both oral and written, is mandatory for this position. Additionally, a working knowledge of one of the Indian official languages is desirable, and knowledge of other UN languages is considered an asset.

The role is full-time and fixed-term, with a duration of one year, which is renewable based on performance and organizational needs.
