This role will involve managing the RR's calendar, coordinating appointments and meetings, and facilitating communication within the office and with external stakeholders. The intern will also assist in maintaining filing systems, managing information flow, and supporting various office activities as needed. Duties and Responsibilities: The intern will have a variety of responsibilities, including:
Ensuring effective and efficient functioning of the Resident Representative (RR) office (70% of the role). This includes maintaining the RR's calendar, managing contacts with high-ranking visitors, arranging appointments and meetings, and following up on briefing materials for meetings and missions.
Providing effective communications support to facilitate the essential flow of information (20% of the role). This involves maintaining both paper and electronic filing systems, coordinating information flow within the office, and ensuring timely follow-up on deadlines and commitments.
Supporting other ad hoc activities as needed (10% of the role). This may include assisting with special projects or tasks as directed by the RR. The intern will also be expected to demonstrate competencies such as project management knowledge, excellent writing skills, data analysis abilities, and a strong understanding of gender and development issues.
Required Qualifications: Candidates must be currently in the final year of a Bachelor’s degree program, currently enrolled in a Master’s degree program, or have graduated no more than one year ago from a Master’s degree or equivalent studies. The field of study should be related to Communications, Journalism, Public Relations, or a similar subject. Additionally, candidates should possess strong IT skills, particularly in Microsoft tools (MS Word, Excel, PowerPoint), and familiarity with graphic design tools such as Adobe Photoshop, Illustrator, and In-Design is considered an asset. Excellent communication skills, both written and oral, in English are required, while proficiency in Kinyarwanda and French is an asset. Knowledge of other UN languages is also advantageous.
Educational Background: The educational background required for this internship includes being in the final year of a Bachelor’s degree or currently enrolled in a Master’s degree program. Alternatively, candidates who have graduated from a Master’s degree or equivalent studies within the last year are also eligible. The preferred fields of study include Communications, Journalism, Public Relations, or other related subjects at the university level.
Experience: The position is aimed at individuals who are either in their final year of study or have recently graduated, indicating that the level of experience required is minimal.
