Job Overview:
The Programme Assistant plays a crucial role in supporting the State Head of Office and the State Programme team in the daily management of the office. This includes programme planning, implementation, and monitoring activities. The position requires effective and timely administrative, logistical, and programme support. The Programme Assistant will report directly to the State Head of Office and is expected to contribute to the overall success of the UNFPA's mission by ensuring that all programme activities are executed efficiently and effectively. The role involves a combination of administrative tasks, research support, and logistical coordination, making it essential for the smooth operation of the State Office.

Duties and Responsibilities:
The Programme Assistant will be responsible for a variety of tasks, including but not limited to:
  • Administrative Management: Supporting the preparation and revision of annual and quarterly work plans, organizing travel and missions for staff and partners, and ensuring effective internal and external communication.
  • Research and Knowledge Management: Assisting in the preparation of programme events, managing correspondence, maintaining an accurate e-filing system, and providing general research support.
  • Programme, Financial, and Operational Support: Offering day-to-day support for programme financial operations, assisting with procurement and planning, managing travel arrangements, and supporting recruitment processes.
  • Logistical Support: Ensuring all logistical arrangements for workshops, meetings, and events are in place, including travel and accommodation for participants.
  • Other Duties: Carrying out any additional responsibilities as assigned by UNFPA leadership, contributing to the overall effectiveness of the organization.

Required Qualifications:
Candidates must possess completed Secondary Level Education as a minimum requirement, with a first-level university degree being desirable. Additionally, candidates should have a strong proficiency in current office software applications, a good understanding of financial processes, and experience with financial and spreadsheet software. Previous experience in UN, multilateral agencies, or NGOs is highly desirable. The ability to work independently and collaboratively in a team environment is essential, along with good writing and communication skills.

Educational Background:
The educational background required for this position includes a completed Secondary Level Education, which is mandatory. A first-level university degree is considered an advantage and may enhance a candidate's application. The emphasis is on having a solid foundation in administrative and programme support functions, which can be bolstered by relevant educational qualifications.

Experience:
The position requires candidates to have a minimum of five years of relevant experience if they hold a high school certificate, or two years of relevant experience if they possess a Bachelor’s degree. This experience should be in supporting project or programme management within private, national, or international organizations. Familiarity with UNFPA's operational procedures and experience in a similar role within the UN or NGOs will be beneficial.

Languages:
Fluency in English, both oral and written, is mandatory for this position. Additionally, a working knowledge of one of the Indian official languages is desirable. Knowledge of other UN languages is considered an asset, enhancing communication capabilities within the diverse environment of UNFPA.

Additional Notes:
This position is classified at G5-Step 1 and offers a competitive annual remuneration package, including a net salary of INR 11,70,287, health insurance, and other applicable benefits. The role is full-time and fixed-term for one year, with the possibility of renewal.
