Job Overview:
The position of Stage Assistante Achats involves assisting the Procurement Officers and the Purchasing Officer in the Logistics Department with tasks related to purchasing for both headquarters and field operations. The main objectives include supporting the procurement requests from various departments at headquarters for supplies, services, and works, ensuring compliance with SI and donor procedures during the purchasing process, and understanding procurement issues in the humanitarian sector. The role also requires mastering tools related to purchasing, storage, and transport, as well as internal procedures of Solidarités International and those of major humanitarian aid donors. The intern will facilitate communication and information flow between various stakeholders, including desk services, headquarters, field operations, and donors. This internship provides an opportunity to learn about the functioning of an NGO's headquarters and the relationship between headquarters and field operations, as well as the requirements of donors and their impact on SI's procedures.

Duties and Responsibilities:
The intern will participate in the continuous improvement and monitoring of a consolidated supplier database accessible via LINK (the organization's purchasing management software) and on the server. They will also contribute to the enhancement of the LINK catalog and the dissemination of best practices related to mission needs. The intern will assist in creating framework contract sheets to understand the workings of contracts, regularize logistical documents in line with SI's new visual identity, and support procurement officers in managing headquarters orders while adhering to SI's procedures. Specific tasks include taking charge of orders, liaising with other headquarters services (HR, Logistics, Communication) regarding purchasing issues, preparing purchase files and processing orders with suppliers (including calls for tenders, analysis, and comparison of quotes), receiving orders, updating the order database, archiving purchase files, monitoring supplier payments with the accounting department, and assisting the purchasing officer in planning purchases for various departments for 202
  • The intern will also participate in the dissemination and application of purchasing procedures among different services and departments, attend various meetings involving the logistics department, and maintain commercial relationships with suppliers while ensuring product monitoring for operational needs.

Required Qualifications:
Candidates should have a strong interest and motivation for working in the non-profit and humanitarian sectors at an international level. They must possess good writing and administrative skills, strong interpersonal skills, and the ability to work effectively in a team. The ideal candidate should demonstrate rigor, organization, autonomy, analytical skills, and proactivity. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required, along with fluent English language skills.

Educational Background:
A background in international purchasing, international trade, or supply chain management at the Bac +4/+5 level is required for this position. Candidates should have a solid understanding of the humanitarian sector and its challenges.

Experience:
While specific experience is not mandatory, any prior exposure to procurement processes, particularly in a humanitarian context, would be advantageous. The candidate should be eager to learn and adapt to the dynamic environment of humanitarian operations.

Languages:
Fluent English is mandatory for this position. Knowledge of additional languages would be considered a plus, especially if relevant to the regions where Solidarités International operates.

This is a 6-month internship based at the headquarters of Solidarités International in Clichy, starting on January 13, 202
  • The intern will receive a stipend of €4.90 per hour, calculated based on actual hours worked. Transportation costs will be covered at 50% by Solidarités International, and meal vouchers worth €8.90 per day will be provided, with a 60% contribution from the organization. The internship offers a comprehensive understanding of the operations of a humanitarian NGO, its constraints, and various approaches, along with internal training to prepare for future humanitarian engagement.
