Responsibilities The American Heart Association has an excellent opportunity for an Operations Specialist - Global Operations based out of our National Center office located in Dallas, TX! This individual will be responsible for operations and project management of key international projects including contracts and programs that increase AHA’s mission world-wide. Responsible for planning and executing projects at a high level, including timelines, budgets, resource allocation and quality assurance, as well as maintaining and updating information and reports for distribution. Responsible for ensuring coordinated communication and execution of program plans amongst teams, addressing challenges, capitalizing on advantageous opportunities, and implementing processes.
  • Develops plans and processes to manage international distributor(s), consultants, regional offices, other rental facilities and provide operational set-up and support. Performs contract and procurement reviews in collaboration with appropriate AHA departments such as Procurement, Legal, etc. Ensures timely renewal, execution and completion of program contracts
  • Monitors project communications, customer service, and vendor relations within timelines. Resolves problems, provides guidance, and analyzes issues and concerns for process improvement. Forecast resource needs for multiple projects
  • Acts as liaison and facilitates delivery and implementation of operations plan through inputs from Marketing, Procurement, Operations, Business Technology, Finance and Communications
  • Contributes to implementation and assists international regions and other countries with cardiovascular programs and healthy lifestyles. Interfaces with government (e.g. Ministries of Health), private entities (e.g. hospitals, sister societies), and volunteers. Ensures operations and programs are respectful of existing programs and culture. Provides or research’s adaptation of programs appropriately to solidify international partnerships and alliances
  • Identifies key performance indicators for project best practices. Solicits and processes feedback from key stakeholders and performs critical analysis of trends. Identifies and streamlines processes, identifies department /staff training needs, communicates solutions, and implements process improvements
  • Provides support to Training Center Coordinators for HeartQuarters Training Center. Assists with the development of association wide staff CPR training program including reporting, distribution, inventory management, promotion, and logistical support at National Center, NEC, and all affiliates. Functions in the role of Training Center Faculty and helps conduct CPR Instructor courses. Ensures all functions of Training Center are completed in accordance with The Program Administration Manual (PAM)
  • Ability to travel up to 10% local and overnight stay
Qualifications
  • Bachelor’s Degree or equivalent work experience
  • Two (2) – Five (5) years of relevant experience
  • Experience with operational oversite such as project management, communications, customer service, distribution/fulfillment, training, office administration, budget and expense functions including contract review and compliance
  • Experience working in international or multi-cultural environments with language or cultural barriers
  • Excellent written and oral communications skills
  • Intermediate skill in Microsoft Word, Excel, Outlook, Sharepoint, OneNote
  • Ability to interact and communicate with AHA volunteers and internal stakeholders
Preferred Experience:
  • Experience with project planning and workflow processing such as Visio
  • Proficient skills with PowerPoint and SharePoint or related repository systems
