Responsibilities
The American Heart Association (AHA) has an excellent opportunity for a
Project Coordinator, Advocacy Consulting in our
National Center office located in
Dallas, Texas .
In this role, you will be responsible for providing
coordination and administrative support for assigned department or project. Additional responsibilities include managing the operational budget and expense processing, record keeping or other administrative duties, preparing and distributing communications, scheduling,
volunteer responsibilities and other organizing efforts based on project assignments.
*Due to the current pandemic, all staff are currently working from home. In the future, this position will resume being based in the local office.*
Essential Job Duties:
- Communicate with Consulting Team to organize and manage assigned projects/events. Recruit staff and/or volunteers for participation, coordinate with vendors, or perform on-site set-up and logistics coordination.
- Utilizes vendor and/or AHA systems (e.g. E1, COI, Seibel, Oasis, etc.) efficiently and competently to complete duties/projects. Monitors, reviews and processes invoices and expenditures in Consulting Team budget. May coordinate grant reports or other report documentation.
- Evaluates and maintains information and accurate data for compliance requirements or internal reporting needs. Collaborates with internal and external customers to ensure documentation is accurate and meets expectations. Compile federal lobbying expenses for IRS 990 and other state lobbying reporting requirements as needed.
- Submits contracts and shepherds them to execution as requested. Monitors contracts for renewal, available funds, and projected spending.
- Assist with development and edits to SharePoint and Microsoft Forms Surveys needed in support of Consulting Teams work.

Qualifications
- High School Diploma or Equivalent.
- Minimum of two (2) year of:
- Project coordination and/or administrative experience.
- Experience in a business support role.
- Basic accounting process experience.
- Experience running large web-based meetings on platforms such as Teams and Zoom.
- Demonstrated ability to prepare written and presentation communications.
- Strong customer service and organizational skills. Ability to work in a team environment and interact with all levels of American Heart Association staff, volunteers, and the public.
- Advanced knowledge and skills with office-related computer programs used for word processing, email, power point, and spreadsheets. Experience in Adobe software programs a plus.
