Due to the current pandemic, daily travel is minimal and voluntary to ensure the health and safety of staff. There is no overnight travel currently. In the future, this position may resume daily and/or overnight travel. All AHA offices are closed and staff are currently working from home. Offices will be reopening on a part-time basis in September 2021 and a full-time basis in January 2022; this position will resume to being based in the local office.
Responsibilities
The American Heart Association (AHA) has an excellent opportunity for an
Senior Accounts Payable Associate, PCard Administration in our
National Center office located in
Dallas, Texas .
In this role, you will be responsible for the daily administration of the Purchasing Card Program. The Sr. Accounts Payable Associate (PCard Administration) regularly interfaces with National Center and Region’s staff of all levels on accounts payable questions and support.
Essential Job Duties:
- PCard administrator and subject matter expert for Purchasing Card program.
- Provides excellent customer service, timely and effectively.
- Supports the centralized accounts payable department, Finance Customer Service Support Site, and customer service phone line.
- Processes staff requests for PCard applications and replacement cards. Responds to Purchasing Card requests for staff upon receipt and appropriate approval.
- Performs analysis on PCard transactions. Evaluates, opens, and closes merchant category codes. Reviews spend reports for inactive and declined PCards. Manages the auto PCard email reminders to staff and supervisors according to developed procedures and processes.
- Accounts payable monthly and annual close process.
- Provides back-up support to other Accounts Payable Associate functions.
- Assists Accounts Payable Supervisor with accounts payable training classes and development of training materials.
- Provides requested information to external and internal auditors, ensures proper PCard documentation is filed timely and adhers to AHA policies and record retention schedules.
- Conducts special projects as requested according to established deadlines.
- Accounts payable reporting needs (PCard audit reports, aging reports, audit reports, etc.)
- Coordinates with Human Resources to ensure PCards of terminated staff are deactivated promptly.
- Informs Payroll staff of potential payroll deductions for un-substantiated expenses.
- Works with managers of terminated employees to clear expense of terminated employees.

Qualifications
- High School Diploma or Equivalent
- Minimum of five (5) years’ exposure and experience in an Accounts Payable department. Procurement Card day to day experience.
- Must be detail-oriented with strong analytical, problem-solving, and financial skills.
- Must have a passion for excellent customer service and commitment to exceptional quality.
- Proficiency in PC applications including Windows, Excel, Word, PowerPoint, Automated Financial Systems.
- Excellent written, oral, and interpersonal communication skills required, with all levels of staff, externally and internally.
- Must be capable of working independently, with strong organizational skills, and able to handle changing priorities.
Here are some of the preferred skills we are looking for:
- Intermediate Excel skills.
- Intermediate Word skills with ability to utilize Mail Merge.
