Responsibilities
The American Heart Association (AHA) has an excellent opportunity for a Manager, Research Pre-Award in our National Center office located in Dallas, Texas (home based/remote is acceptable) .
The Manager, Research Pre-Award is responsible for managing staff, mentoring science volunteers and organizing award applications and peer review processes for the American Heart Association (AHA) research awards portfolio. Additional responsibilities include pre-award procedures as well as review and recommendations for more than 4,000 research grant applications that vary in scope from summer undergraduate fellowships to multi-million dollar Strategically-Focused Research Networks ($12M-$20M.
*Due to the current pandemic, travel is minimal and voluntary to ensure the health and safety of staff. There is no overnight travel currently. In the future, this position may resume daily/overnight travel. All staff are currently working from home.*
Essential Job Duties:
- Direct the planning and implementation of the AHA research award applications and peer review processes including establishing policies, procedures and use of ProposalCentral. Act as lead resource to ensure compliance with AHA policy on research programs and peer review. Develop workflow from applicant through committee to award notification and evaluation.
- Perform preliminary scientific review of proposals for due diligence and compliance prior to formal peer review. Establish and ensure compliance with conflicts of interest policies between applicants and reviewers. Manage and communicate application and peer review workflow, assignments, timelines, and final deadlines related to pre-award. Identify, assess, and implement new and modified business processes.
- Direct staff in volunteer management including recruiting, training, and managing volunteer peer reviewers. Oversee the review, preparation, and documentation of committee responses. Train staff in the evaluation process of peer reviewers.
- Ensure a high level of scientific accountability within the AHA’s foundational and strategic awards program. Foster strong relationships with the peer review volunteers as well as within the applications and peer review team.
- Lead staff in applying scientific principles and biomedical knowledge to understand, organize, and describe complex data for scientific, medical, and lay audiences during the pre-award process and management of the AHA research awards portfolio.
- Serve as staff liaison and subject matter expert in assigned scientific area for compliance with the review process and policy including ensuring applicants, committees, reviewers and awardees adhere to program guidelines and award restrictions.
- Maintain appropriate financial records for peer review committee(s). Oversee pre-award operational budgets.
- Bachelor’s Degree - Science, Public Health, Healthcare Administration, Clinical Science, or related area with post-graduate work towards a higher degree in the same.
- Minimum of five (5) years of experience in scientific research grants administration to include application management and peer review of scientific research programs.
- Minimum of three (3) years of experience in managing and developing staff and volunteers through committee facilitation, taking accountability for own and direct report actions.
- Advanced planning, scheduling, and volunteer management skills.
- Ability to read, analyze and interpret an extensive variety of scientific and technical documents.
- Excellent analytical and problem-solving skills, with a proven track record in developing creative solutions.
- Ability to manage and organize parallel projects with meticulous attention to detail while maintaining a broad perspective.
- Excellent writing and oral presentation skills with demonstrated ability to communicate to both scientific and lay audiences.
- Exceptional interpersonal and conflict management skills at all levels of the organization with demonstrated success at leading through influence.
- Must be proficient and comfortable working in a variety of virtual event platforms (i.e., Zoom, Teams, WebEx, etc.
- Must be able to travel overnight approx. 10% of the time.
- Advanced Degree - MS, MPH or PhD in health-related specialization; Certified Research Administrator.
- Experience in writing and reviewing grant applications.
- Experience in conducting research.
