Background
The Data & Operations Team is responsible for the back-office support of all
fundraising activities in Resource Development (RD) in the areas of gift processing, record maintenance, fulfillment, data
analysis,
database management, prospect development, and compliance. The Data & Operations Team creates efficiency by supporting backend needs across fundraising channels, innovates new solutions for overcoming obstacles, and strikes for its timeliness, scalability and data-driven culture. The Resource Development Assistant plays a critical role in the team through processing online and offline gifts, maintaining high quality donor information, and supporting donors with positive stewardship experience.
Job Purpose
- To accurately process, acknowledge, and report donations
- To update and maintain the donor database
- To provide customer service and general administrative and fundraising operations support
Main Responsibilities
To perform this job successfully, an individual must be able to perform each essential function with or without reasonable accommodation. The tasks listed are representative of the nature and level of work assigned and are not necessarily all-inclusive.
- Work with the Finance Department and donation processing vendor(s) to receive and process online, recurring, and offline donations securely, and record accurate donation information and documentation in the database.
- Provide regular reports of donations received.
- Generate and send donation receipts and personalized acknowledgment letters to donors, draft and maintain acknowledgment letter content, and facilitate the CEO’s signing of letters.
- Process, update and maintain constituent information in the database.
- Provide phone and email customer service and request fulfillment.
- Manage the accounts of recurring donors, and follow-up with donors regarding declined transactions, expiring credit card information, etc.
- Responsible for fulfillment of donation programs, such as tribute cards, premium memberships, and information packets.
- Support the execution of in-house mailings to important donors.
- Work closely with RD Data Officer to carry out data governance and cleansing tasks to ensure highest donor database quality.
- Support other activities within the department as assigned. For example, assisting in donor research, execution of marketing and cultivation mailings, preparing donation reports, assisting RD Manager in various fundraising registration and application.

Qualification
Essential Experience
- One year or more of office and/or administrative workplace experience utilizing Microsoft Windows and Office Suite
Desirable Experience
- Business or fundraising operations role
- Raiser’s Edge or other CRM
- Non-profit sector

- Proficiency with Microsoft Windows and Office and at least 50 WPM typing speed
