Job Overview:
The Senior Admin, Logistic, and Data Assistant will play a crucial role in supporting the logistics and data functions of CHAI's Lenacapavir implementation research program in Indonesia. This position involves managing the procurement process, tracking the distribution of commodities to study sites, and ensuring data collection and quality checks are performed accurately. The role also encompasses general administrative support for CHAI Indonesia's operations team, which includes office administration, vendor coordination, travel arrangements, and document management. The position requires a proactive approach to problem-solving and the ability to manage multiple tasks effectively, with a focus on supporting the program's goals and ensuring smooth operations.

Duties and Responsibilities:
The Senior Admin, Logistic, and Data Assistant will be responsible for a variety of tasks, including:
  • Preparing, tracking, and recording the movement of Lenacapavir commodities from procurement to distribution across approximately 20 study sites.
  • Maintaining accurate inventory and stock records, flagging potential stock outs or overstocking.
  • Supporting the proper storage and handling of Lenacapavir in compliance with regulatory requirements.
  • Recording and processing financial and inventory information related to logistics and procurement.
  • Extracting, compiling, and cleaning program data from relevant systems, ensuring data quality through routine checks.
  • Maintaining program dashboards and trackers for monitoring logistics and data indicators.
  • Coordinating provider surveys and key informant interviews, including scheduling and data compilation.
  • Providing administrative support to the country office, managing office supplies, and general correspondence.
  • Supporting procurement processes and liaising with vendors. 1
  • Coordinating travel logistics for staff and consultants. 1
  • Planning and logistics for internal meetings and events. 1
  • Maintaining organized filing systems for administrative and program records. 1
  • Providing backup support to other program teams as needed. 1
  • Managing competing priorities and ensuring clear communication on logistics and data matters. 1
  • Developing solutions to logistics or data issues and building relationships with site-level staff and vendors.

Required Qualifications:
Candidates must possess a Bachelor's degree in Logistics, Supply Chain Management, Business Administration, Statistics, Public Health, Information Systems, or a related field. A minimum of one to two years of relevant professional experience is required, ideally in logistics, office administration, data management, or public health programs. Strong data collection and analysis skills, proficiency in Microsoft Excel, and the ability to manage competing priorities are essential. Clear communication skills, both written and verbal, are also necessary for this role. A willingness to travel to study sites in West and East Java is expected.

Educational Background:
A Bachelor's degree in a relevant field such as Logistics, Supply Chain Management, Business Administration, Statistics, Public Health, or Information Systems is required for this position. This educational background provides the foundational knowledge necessary for managing logistics, data, and administrative tasks effectively within the context of public health programs.

Experience:
The position requires a minimum of one to two years of relevant professional experience. Ideal candidates will have experience in logistics, office administration, data management, or public health programs. Familiarity with inventory tracking, procurement processes, and general office administration is highly desirable. Experience in health commodity logistics or cold chain management is an advantage, as is prior experience supporting HIV or public health programs.

Languages:
Professional working proficiency in English and Bahasa Indonesia is mandatory for this position. Knowledge of additional languages may be considered an asset but is not required.

Additional Notes:
This is a full-time position based in Jakarta, Indonesia, with no telecommuting options available. The role involves periodic travel to study sites in West and East Java.
