Job Overview:
The UNEP Publications Digitization and Records Management Intern will play a crucial role in supporting the Chemicals and Health Branch within UNEP's Industry and Economy Division. The intern will be responsible for verifying the physical publication collection, identifying materials that require digitization, and ensuring that the Branch's knowledge assets are accurately managed and accessible. This position involves a two-phase approach: the first phase focuses on verification, inventory, and gap analysis of publications, while the second phase emphasizes digitization, quality assurance, and repository preparation. The intern will work under the supervision of the Team Assistant and will contribute to the overall goal of improving information retrieval and discoverability of UNEP's publications.

Duties and Responsibilities:
The intern will undertake a variety of tasks, including: conducting a physical verification and inventory of publications held by the Chemicals and Health Branch; reviewing and classifying publications according to UNEP records management standards; cross-checking publications against the online repository to determine digitization status; preparing and maintaining a comprehensive Excel inventory of publications; identifying priority publications for digitization; supporting the organization and maintenance of filing systems; digitizing publications and applying Optical Character Recognition (OCR); conducting quality assurance reviews of digitized documents; organizing and storing digitized files in the Branch's SharePoint; maintaining tracking records of the digitization process; and contributing to improvements in document management and information retrieval processes. The intern may also perform other related duties as assigned.

Required Qualifications:
Applicants must meet one of the following requirements: (a) be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher); (b) be enrolled in, or have completed, the final academic year of a first university degree programme (minimum bachelor’s degree or equivalent). While professional work experience is not required for the UN internship-programme" style="border-bottom: 1px dotted #007bff !important;">Internship Programme, a field of study closely related to the internship is necessary. Candidates must be students in the final year of their first university degree (bachelor or equivalent), Master’s, or Ph.D. Programme, or have completed such programmes.

Educational Background:
The educational background required for this position includes being enrolled in or having completed a relevant degree programme. This could include fields such as environmental science, information management, library science, or other related disciplines that provide the necessary skills and knowledge for managing publications and records effectively.

Experience:
While no professional work experience is required for this internship, candidates should have relevant academic experience or coursework that aligns with the responsibilities of the position. This may include experience with research, data management, or information technology, particularly in relation to digitization and records management.

Languages:
Fluency in spoken and written English is required for the internship, as English is one of the working languages of the United Nations Secretariat. Knowledge of French, the other working language, is also essential. Additionally, proficiency in another official UN language is considered an advantage, enhancing the candidate's ability to communicate effectively in a multilingual environment.
