Job Overview: The Support ServicesIntern position is an excellent opportunity for individuals seeking to gain practical experience in administrative support within an international development context. The intern will be involved in various operational processes, including procurement, human resources, and financial administration, which are essential for the successful delivery of UNOPS projects in Bogota. The role requires a proactive approach to assist in the day-to-day operations of the Support Services Unit, ensuring compliance with UNOPS rules and regulations while contributing to the overall mission of the organization. This internship is designed to provide a comprehensive understanding of the administrative functions within a global organization and to develop skills that are valuable in the international development sector.
Duties and Responsibilities:
Procurement Support: Assist in coordinating administrative procurement activities, including drafting solicitation documents, receiving and opening bids, and preparing evaluation summaries. Maintain procurement plans and tracking sheets.
Asset and LogisticsManagement Support: Help organize and update asset inventory records, assist in asset tagging and stocktaking, and coordinate logistics requests.
Administrative and Logistical Support: Make arrangements for events and meetings, manage travel administration, and handle official correspondence.
Human Resources Support: Provide administrative assistance in recruitment processes, including drafting job postings and organizing candidate files.
General Support: Support the implementation of organizational policies related to diversity, equity, and inclusion, and ensure compliance with PSEA principles.
Required Qualifications: Applicants must be enrolled in or have recently graduated from a university program such as a Bachelor’s, Master’s, or Ph.D. in relevant fields. Preferred areas of study include Business, Administration, Asset and Logistics, Procurement, Data Analytics, Management, or International Relations. No prior experience is required, but experience in administrative support or related fields is desirable. Familiarity with Google Suite and data analysis tools is an advantage.
Educational Background: Candidates must be currently enrolled in or have graduated from a university program within the last three years. The educational background should preferably be in fields related to business, administration, logistics, procurement, or international relations, which are relevant to the functions of the internship.
Experience: While no prior experience is required for this internship, candidates with experience in administrative support, procurement, asset management, or human resources in an international organization setting will be preferred. Familiarity with Google Suite, particularly in data analysis, is highly desirable.
Languages: Proficiency in Spanish is mandatory, as it is the primary language of communication in the office. Fluency in English is also required to facilitate communication with international partners and stakeholders.
Additional Notes: This internship is for a duration of 12 months and is classified as an entry-level position. The role is full-time and based in Bogota, Colombia.
