Job Overview: The Travel Referent plays a crucial role in managing the travel arrangements for MSF International staff who are based in various MSF entities. This position requires the coordination of all aspects of staff travel, which includes liaising with finance and procurement departments, partner MSF sections, decentralized hubs, the Global Procurement Unit (GPU), and external suppliers such as the AMEX travel agency and accommodation providers. The Travel Referent is responsible for ensuring that travel solutions comply with the Travel Policy, are efficient, safe, and tailored to operational constraints, thereby facilitating the smooth operation of MSF's humanitarian missions.
Duties and Responsibilities: The Travel Referent is tasked with coordinating travel arrangements for MSF International staff, ensuring that travel solutions are efficient, compliant, and operationally appropriate. Key responsibilities include reviewing and validating travel requests for consistency and compliance with the Travel Policy, arranging travel services such as flights, trains, buses, and accommodations, and delivering travel solutions that align with organizational objectives. The role also involves optimizing travel planning and traveler support to balance operational, financial, and environmental considerations. The Travel Referent must identify travel options that achieve the best balance between cost, duration, number of stopovers, comfort, and environmental impact. Additionally, the position requires advising travelers on visa requirements, developing and maintaining the Travel Policy, monitoring policy implementation, and ensuring compliance with travel-related performance indicators. The Travel Referent will also be responsible for maintaining and consolidating travel data, identifying irregularities, and contributing to the quality of travel information and reporting tools.
Required Qualifications: Candidates must possess a minimum of 2 years of higher education and at least 2 years of experience in travel coordination, travel administration, or travel agency services. Experience managing international travel arrangements, including flights, accommodations, visas, and travel-related documentation is essential. The role requires the ability to work with multiple stakeholders and service providers effectively. Additional assets include experience in an international and multicultural environment and familiarity with the humanitarian or non-profit sector.
Educational Background: The educational background required for this position includes at least 2 years of higher education, which provides a foundational understanding of the complexities involved in travel coordination and management.
Experience: The ideal candidate should have a minimum of 2 years' experience in travel coordination or a related field. This experience should include managing international travel arrangements and working with various stakeholders and service providers to ensure seamless travel experiences for staff.
Languages: Fluency in both French and English is mandatory for this position, as effective communication in these languages is crucial for coordinating travel arrangements and liaising with diverse stakeholders.
